Responsibilities

Job description

Job Title: Skills Coach & MIS Administrator
Location: Bath / Hybrid
Salary: From £32,000 per annum

About the role

We are looking for an experienced, highly organised and learner-focused Skills Coach & MIS Administrator to join our team and support apprentices undertaking AAT Level 3 and Level 4 apprenticeship programmes.

This is a varied role combining learner support, assessment, apprenticeship administration,management information and compliance. You will take responsibility for a caseload of apprentices, supporting them from enrolment through to successful completion, while also ensuring that learner, employer and programme records are accurate, complete and compliant.

The Skills Coach & MIS Administrator will work closely with learners, employers and colleagues across delivery, quality, employer engagement and finance to ensure apprentices receive high-quality support and that programme documentation, funding evidence and management information are maintained to a high standard.

The role will suit someone who enjoys working directly with learners but also has a strong eye for detail and is confident working with data, systems and processes.

Key responsibilities
Learner Support, Coaching & Assessment
  • Manage a caseload of AAT Level 3 and Level 4 apprentices, providing consistent support from enrolment through to successful completion.
  • Conduct regular progress reviews with learners and employers, identifying achievements, challenges, development needs and appropriate actions.
  • Build positive and effective relationships with learners, employers and colleagues, providing guidance, encouragement and professional support throughout the apprenticeship.
  • Assess learner portfolios and workplace evidence, providing clear, constructive and developmental feedback.
  • Monitor learner progress against programme requirements, achievement targets and planned milestones.
  • Support learners to develop the knowledge, skills and behaviours required to achieve their apprenticeship.
  • Plan and deliver engaging remote and face-to-face learning sessions, incorporating contextualised wider learning where appropriate.
  • Monitor and support completion of off-the-job training and ensure appropriate evidence is maintained.
  • Prepare and support learners for gateway and End-Point Assessment (EPA).
MIS, Administration & Compliance
  • Maintain accurate and up-to-date learner, employer and programme records across MIS, e-portfolio systems and internal databases.
  • Complete and quality-check learner enrolment and sign-up documentation, including eligibility, prior learning, training plans, apprenticeship agreements and employer documentation.
  • Carry out funding eligibility checks and ensure all required supporting evidence is accurate, complete and audit-ready.
  • Input, review and maintain Individualised Learner Record (ILR) data, ensuring information is accurate and submitted within required deadlines.
  • Ensure learner records accurately reflect starts, progress, planned and actual end dates, breaks in learning, withdrawals, gateway and completions.
  • Undertake regular data validation, checking and cleansing to identify errors, missing evidence and discrepancies.
  • Ensure Apprenticeship Service records, employer approvals, training plans, learner records and ILR data are accurately aligned.
  • Maintain comprehensive documentation to support funding claims, internal quality assurance and external audit requirements.
  • Ensure assessment, learner activity and administration comply with relevant apprenticeship funding rules, quality assurance, safeguarding, data protection and organisational requirements.
  • Work collaboratively with colleagues to investigate and resolve data, documentation or compliance issues promptly.
  • Produce accurate reports, trackers and spreadsheets covering learner numbers, progress, compliance, funding, completion and performance.
  • Maintain accurate and timely records of learner activity, reviews, assessment and programme progress.
  • Keep up to date with apprenticeship funding rules, ILR requirements and relevant policies and procedures.
About you

We are looking for someone who is passionate about supporting learners and has the knowledge, experience and organisational skills to manage an apprenticeship caseload while maintaining high standards of administration and compliance.

Essential
  • An assessor qualification such as CAVA, TAQA, A1 or D32/D33, or a willingness to work towards an appropriate assessor qualification.
  • Experience of supporting and/or assessing learners at Level 3 and/or Level 4.
  • Experience of working within apprenticeships, education, training, assessment, funding, compliance or learner-record administration.
  • Strong organisational and time-management skills, with the ability to manage a caseload, competing priorities and deadlines independently.
  • Good knowledge of apprenticeship delivery and an understanding of the importance of funding, compliance and audit requirements.
  • Experience of using Management Information Systems (MIS), e-portfolios or similar systems to maintain learner records.
  • Confident using Microsoft Excel, including spreadsheets, trackers, formulas and data-validation checks.
  • Analytical and proactive, with the ability to identify discrepancies, investigate issues and take ownership of finding solutions.
