Qualifications

Responsibilities

  • Own day-to-day London office operations, ensuring a safe, functional and engaging environment.
  • Act as primary Workplace contact for London, supporting employees, leaders and stakeholders.
  • Lead development and implementation of local Workplace processes and procedures.
  • Make operational decisions with sound judgement and escalate when needed.
  • Support regional Workplace projects, policies, and initiatives for EMEA.
  • Position London as a benchmark location by sharing best practices across EMEA.
  • Ensure Health & Safety compliance and proactively coordinate corrective actions.
  • Collaborate with HR, IT, Finance, Security, etc., for seamless delivery and great employee experience.
  • Manage vendor contracts, cost reviews, service levels and issue resolution.
  • Lead onsite events and employee experience initiatives to boost workplace culture.
  • Plan and execute projects like seating, sustainability, renovations and moves.
  • Utilize workplace tech and space management tools for accuracy across dashboards and service desks.
  • Track KPIs and issues with timely actions and transparent updates.
  • Drive continuous improvement and share learnings with the wider EMEA team.

The Role

Snowflake is looking for a Senior Workplace Specialist to join the Global Workplace team and support the operations of our London office.

In this role, you will be responsible for a broad range of activities, from vendor coordination to enhancing the service experience for employees, guests, and partners. You will contribute to creating and maintaining a pleasant, aesthetic, and functional work environment, supporting employees in experiencing a high level of organisational effectiveness, communication, safety, and engagement.

Responsibilities:
  • Own day-to-day Workplace operations for the London office, ensuring a clean, safe, functional and engaging environment and taking accountability for the overall workplace experience.
  • Act as the primary Workplace point of contact for the London office, providing visible, proactive and professional support to employees, leaders and stakeholders.
  • Lead the development and implementation of local Workplace processes and procedures, identifying opportunities to improve consistency, efficiency and service delivery.
  • Take ownership of operational decisions for the London location, using sound judgement to resolve issues, prioritise competing requirements and escalating appropriately when required.
  • Support the Regional Workplace Manager with regional Workplace projects, policies and initiatives, contributing to a consistent operating model across EMEA.
  • Position London as a benchmark location for Workplace operations, developing and sharing best practices that can be adopted across other EMEA offices.
  • Ensure compliance with Health & Safety standards, proactively identifying risks and coordinating corrective actions.
  • Partner with key internal stakeholders (HR, IT, Finance, Security, etc.) to ensure seamless operational delivery and a high-quality employee experience.
  • Manage vendor contracts and performance, including cost reviews, service levels and timely resolution of performance issues.
  • Lead and support onsite events and employee experience initiatives, bringing creativity and a high level of service to enhance workplace culture.
  • Plan and execute operational projects such as seating planning, sustainability programmes, renovations and office moves.
  • Utilise Workplace technology and operational systems, ensuring accuracy across space management platforms, dashboards and service desk tools.
  • Track and manage workplace issues, priorities and KPIs, ensuring actions are followed through and resolved within expected timescales.
  • Streamline Workplace communications, delivering clear and engaging updates on workplace initiatives, changes and operational matters.
  • Drive continuous improvement and set a high standard for Workplace operations, identifying opportunities for efficiency and innovation while sharing learnings and best practices with the wider EMEA Workplace team.
Requirements
  • 3-5 years facilities positions or similar roles (fast pace environment - big plus)
  • Exhibit analytical, strategic planning, and execution skills.
  • Strategic approach to planning/problem solving combined with hands-on approach. Proven organizational skills. Strong execution skills meeting short deadlines - a must.
  • Proven experience with running a functional, engaging, aesthetic workplace: management of office M&E systems, workplace service providers and housekeeping & catering team
  • Undertaking physical inspection of the facilities and premises and prioritizing maintenance as appropriate
  • Have an excellent track record of establishing relationships, influencing and negotiating competing priorities among business partners
  • Have a proven ability to deliver concise and simple written and verbal communications to cross-functional stakeholders
  • Customer centric approach.
  • Proficient with GSuite & Slack. Familiarity with Workday, ZIP, Envoy a bonus.
