Standard BioTools is looking for an Senior Order Management Specialist, on a temporary to permanent basis. This role is responsible for executing and supporting order processing in the EMEA region through processing customer purchase orders in the CRM and ERP and supporting account managers in all activities involved in the "quote to cash" process. They are responsible for keeping track of deliveries, ensuring customer satisfaction, and keeping accurate records of all transport and goods. The Order Management Specialist organises and has responsibilities related to the flow of materials, products, services, and associated systems, as well as pricing information.
Duties include, but are not limited to, supply chain services, customer service and field service commitment, as well as serving as a liaison between the sales and operations teams, to ensure customer requirements are met.
Essential Duties:
Customer Service & Order Fulfilment (50%*)
• Execute and support order processing in EMEA.
• Process orders through SFDC and Microsoft Dynamics AX for all entities in the EMEA region, ensuring order accuracy, compliance, and maintenance (in accordance with SOX requirements).
• Support field sales representatives and district managers in the EMEA region throughout the Quote-to-Cash process; from the preparation and execution of complex instrument and consumable quotes, to order processing and tracking.
• Lead communications between customers, sales, support, service, finance, and other departments.
• Work on highly complex and diverse administrative problems.
• Tenders - Execution of European tenders and contracts.
• Preparation of various reports and administrative documents for the sales team and management.
Logistics Coordination & Support (50%*)
• Plan, coordinate and track shipments of finished goods in accordance with customer requirements and manage the flow of customer orders within the stipulated time frame.
• Maintain records, including warehouse inventory, fulfilled orders, etc.
• Provide great customer service and troubleshoot problems, as and where necessary.
• Work on highly complex and diverse logistical problems.
• Determine methods and procedures for new assignments.
• Communicate with internal and external customers, freight forwarders, etc.
• Process, and manage requests related to the shipment of instruments or consumables, including returns.
• Handle Special Shipments.
• Monitor backorder items.
• Prepare accurate reports for senior management.
• Management of demonstration units.
* The percentage between logistics coordination and customer service support may vary depending on internal needs.
Candidate Specification:
• Experienced in the Order Management process.
• Proven ability to resolve complex issues
• Experience working with a professional customer-focused approach.
• Resilient, and highly motivated individual.
• Fast learner with excellent communication and time management skills, coupled with a positive, and proactive attitude.
• Proficiency in additional languages preferred (German, Italian, French, and Spanish as additional preferred languages)
