Job summary

Michael Page is seeking a Senior HR Administrator to join a professional services team in Littlehampton. You will onboard clients, prepare contracts, manage HRIS data, and ensure GDPR compliance while supporting HR Advisors and HRBPs with case handling.

The role requires CIPD Level 5, 3 years of HR experience, strong communication, and the ability to work both in office and remotely. A 6-week assignment and hybrid work model are offered.

Responsibilities

  • Onboard new clients and establish HR policies and systems.
  • Prepare HR documents such as contracts and new hire guides.
  • Coordinate inductions and ensure documentation is complete and communicated.
  • Review and update company policies.
  • Liaise with Occupational Health, HRIS providers and legal compliance.
  • Create reports on HR metrics (turnover, stability, absence).
  • Manage HRIS records (starters, leavers, maternity, holidays).
  • Monitor client HR inboxes and escalate to HR Advisors as needed.
  • Support HR Advisors and HRBPs with disciplinary, grievance, absence and performance cases in HRIS.
  • Record and archive employee documents in line with GDPR.

  • Be proficient at providing instruction/information to employees in the use of HR programs, tools, services.
  • Demonstrate proficiency in conducting HR analytics (accurately analyses data, identifies trends and presents in a clear and logical manner that allows users to quickly interpret and identify appropriate action).
  • Takes personal accountability & initiative - identifies issues (pro-active); take action to resolve (can-do); go beyond what is required (ownership).

Description
  • Onboard new clients and establish their HR policies and systems.
  • Prepare HR documents such as employment contracts and new hire guides.
  • Co-ordinate induction sessions and ensure all documentation is completed, recorded, and communicated effectively.
  • Review and update company policies.
  • Liaise with external partners such as Occupational Health, HRIS providers and legal compliance.
  • Create regular reports and presentations on HR metrics (e.g. turnover rates, stability, absence).
  • Proactively manage varied HR Information systems, updating records in a timely manner (e.g. starters, leavers, maternity, holiday).
  • Monitor and manage client HR in-boxes, responding where appropriate and escalating to HR Advisors where needed.
  • Support HR Advisors and HRBPs by ensuring all disciplinary, grievance, absence and performance management cases and outcomes have been captured, recorded and logged in the relevant HRIS
  • Ensure the accurate recording and archiving of all employees related documents and correspondence in line with GDPR and Data Protection legislation.
  • Update the HR System with sickness reasons and ensure medical certificates and return to work interview forms are received and filed.
  • Process leavers on the HR System and ensure all associated paperwork is actioned and distributed as required.
  • Provide timely employment references when requested in accordance with policy.
  • Administer the maternity process by issuing maternity information and processing paperwork/updating the HR System.
  • Ensure the client Organisation charts are kept up to date with leavers and staff changes.
  • Answer phone & email queries about HR admin related activities.
  • Perform other related duties as assigned or requested.
  • Assist payroll providers by providing relevant employee information (e.g. leave, absence, sick days and work schedules).
  • Provide accurate and timely administration support to our team and clients.
  • Ensure all correspondence are prepared to a high standard with a 'right first time' approach to detail.
  • Participate in HR projects
  • Act as first line advisory support to clients for employment enquiries and for direct client relationships where assigned.
Profile

A successful Senior HR Administrator should have:

  • CIPD qualified to at least level 5 or equivalent occupational qualifications.
  • Comprehensive and up to date knowledge of relevant ER and HR related legislation.
  • 3 years of experience within a relevant HR role.
  • Excellent customer service skills.
  • Strong written and verbal communication skills.Can flex communication style according to listener / audience.
  • Loves working as part of a team but also self-motivated and disciplined.
  • Analytical and problem-solving abilities.
  • Comprehensive understanding of HR legal requirements and best practices.
  • Excellent knowledge of employment contracts and terms and the application of typical HR processes.
Job Offer
  • An hourly rate of £16.00 to £18.00, dependent on the level of experience.
  • Monday to Friday 9:00am until 5:00pm, 30 minutes for lunch
  • 2 days a week in office, 3 days WFH
  • Initial 6 week assignment
