Job summary

REMPEC in London is seeking a Senior Editorial Assistant for the Conference Division. The role involves proofreading, editing, and formatting complex English texts to ensure accuracy and adherence to IMO and in-house guidelines.

You will work with translation memories, verify terminology in eLUNA, and support a busy word processing unit, including training new staff and deputizing during absences.

Contract Information

The first year of contract will be probationary with the possibility of further extension subject to satisfactory performance. This post is limited to local status* only. *Local status requires applicants to have unhindered permission to live and work in the UK.

Approximately £48,722 net per annum, (subject to deductions), free of income tax in the UK. Excellent benefits including medical insurance and UN pension scheme.

Purpose of the Post

Under the immediate supervision of the Supervisor, English Word Processing Unit, the incumbent will carry out a variety of duties, including replacing the Deputy Supervisor in his or her absence.

Main Duties and Responsibilities
  • Proofread complex and lengthy English texts for precision, quality and conformity with established standards and policies, ensuring that processing and editorial changes have been accurately incorporated and are reflected in the final version.
  • Edit, insert corrections, format and prepare lengthy documents, which include complex tables, reports, special layouts, merging, collating, etc., adapting to technological developments including? in the field of CAT tools (eLUNa).
  • Verify the grammar syntax, references, concordance of the English text with the original document to ensure an accurate translation, style, punctuation, and spelling following IMO and in-house guidelines.
  • Check references and check terminology in eLUNa for all edited, translated and proofread documents.
  • Assist the supervisor/deputy supervisor with registering, distributing and/or undertaking urgent work when required, adhering to work meeting deadlines at all times.
  • Consult consulting officers, editors and translators in case of omissions or discrepancies between the original and the proofread text and make proposals.
  • Check that all components of the original text are correctly reflected in the final edited/proofread/translated documents (e.g. cover page, table of contents, country names, pagination, chapters, paragraphs, titles, figures, equations, annexes, footnotes, charts, appendices etc.).
  • Align bi-texts to support the production of high-quality translation memories for computer-assisted translation tools (Document Storage, eLUNa) and related workflow improvements.
  • Convert texts into different formats using various software programs (MS Office & PDF) and verify the converted text.
  • Brief, train and support new staff and temporary employees on work procedures or any queries that they might have, and routine office arrangements.
  • Deal efficiently with high volumes of documents and work independently in order to meet the competing document deadlines.
  • Replace the deputy supervisor during the absences of the Supervisor and during night shifts, act as team leader, organize and distribute documents, enter relevant data into gDoc on reception/completion of documents, ensure that documents are correctly proofread, filed and transferred electronically to the Documents Section.
  • Be prepared to work night shifts.
  • Perform any other duties as required for the effective operation of the word processing unit, including document processing and routine office arrangements.
  • Thoroughness and attention to detail, ensuring accuracy of output.
  • Ability to organize and prioritize tasks and to work under pressure to tight deadlines.
  • Sense of initiative and capacity to work independently.
  • Demonstrated ability to deputize a senior staff member.
  • Demonstrated training skills.
  • Positive attitude, flexibility and willingness to work late hours, even at short notice.
  • Ability to work in a multicultural environment and to establish working relationships with internal and external stakeholders, at all levels.
Professional Experience

At least six years of relevant professional experience as a Proofreader is essential. Experience in deputizing/covering a senior staff member would be an asset. Understanding of the use of computer assisted translation tools would be an asset. Experience in similar work in an International Organization or within the UN system would be an asset. Experience in providing training or guidance on work procedures would be an asset.

Education

Secondary education or equivalent to university entrance standard.

Language Skills

Excellent command of English both written and oral to mother tongue standard with excellent knowledge of grammar and spelling. Working knowledge of any other official UN language would be an asset.

Other Skills

Excellent proofreading and formatting skills are required. Proficiency in MS Office applications is essential. Good understanding of a Computer Assisted Translation program such as eLUNA or similar platform would be an advantage.
