Job description

ADE Power designs and manufactures specialist acoustic generator and switchgear enclosures for major power generation, data centre, and infrastructure projects. As the business continues to grow in both the UK and Spain, we are looking for a Senior Project Document Controller to lead document control activities across the Projects function, ensuring consistency, traceability, and accurate project records throughout the project lifecycle. Reporting to the Projects Director, this role will oversee document control processes from project handover through design, procurement, manufacture, and final delivery, while managing the day-to-day document support resource. The successful candidate will be responsible for registering, issuing, tracking, and coordinating project documentation, ensuring records are completed accurately and on time. A key aspect of the role will be leading the compilation and controlled issue of O&M Manuals and Manufacturing Record Books (MRBs), coordinating contributions from multiple departments and ensuring documentation is progressively developed throughout each project. This is a hands-on role combining document control expertise, process leadership, team supervision, and responsibility for driving documentation standards across multiple live projects and locations.

Responsibilities

Project Documentation & Control

  • Establish project documentation requirements and maintain document registers, trackers, revisions, approvals, and handover records.
  • Coordinate document control activities throughout the project lifecycle, from handover through to final completion.
  • Ensure all project documentation is issued, tracked, controlled, and archived in accordance with company and customer requirements.

Design & Drawing Management

  • Maintain drawing registers, revisions, transmittals, and approval records.
  • Issue documentation through customer portals and agreed communication channels.
  • Track customer comments and approvals, ensuring revised documentation is progressed to closure.
  • Control superseded drawings and documents to prevent unintended use.

Technical Queries & Supplier Documentation

  • Maintain and track RFI/TQ registers and coordinate responses with project stakeholders.
  • Monitor supplier documentation, including drawings, manuals, certificates, and test records.
  • Escalate overdue information that may impact project delivery or handover.

Quality Documentation

  • Coordinate the collection and control of quality, manufacturing, inspection, and test records.
  • Review documentation for completeness and ensure records are correctly referenced, signed, and maintained.
  • Support compliance by ensuring current templates and approved documentation are used.

O&M Manuals & Manufacturing Record Books (MRBs)

  • Lead the planning, compilation, review, and controlled issue of O&M Manuals and Manufacturing Record Books.
  • Coordinate contributions from Engineering, Quality, Procurement, Operations, suppliers, and Project Managers.
  • Ensure documentation is built progressively throughout the project and accurately reflects the final as-built product.
  • Manage customer comments and ensure timely completion of final project handover documentation.
  • Monitor document status across active projects and provide regular progress updates.
  • Identify risks, overdue information, and programme-critical document issues, escalating where required.
  • Provide visibility of documentation performance and recurring issues to the Projects Director.
  • Manage and support the day-to-day activities of the document control team.
  • Promote consistent document control processes across UK and Spain operations.
  • Work collaboratively with Project Management, Engineering, Quality, Procurement, and Operations teams to maintain effective information flow.
Requirements
  • Experience in document control within an engineering, manufacturing, construction, infrastructure, power generation, data centre, or similar technical environment.
  • Experience managing document and drawing registers, revisions, transmittals, submissions, and approval processes.
  • Experience coordinating technical documentation across multiple departments and external stakeholders.
  • Experience compiling and managing O&M Manuals, Manufacturing Record Books (MRBs), handover packs, databooks, or similar technical documentation.
  • Ability to interpret document references, drawing revisions, and technical submission statuses.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook, with experience managing electronic document filing systems.
  • Strong attention to detail with the confidence to challenge incomplete information and escalation issues where necessary.
  • Highly organised with the ability to manage multiple projects and competing deadlines.
  • Strong communication and stakeholder management skills, with the ability to work effectively across Project Management, Engineering, Quality, Procurement, Production, and customer teams.
  • Proactive, methodical, and able to prioritise work according to project requirements.
  • Experience supporting projects involving SolidWorks drawings or other CAD-generated documentation.
  • Experience using SharePoint, Microsoft Lists, Power Automate, customer portals, EDMS platforms, or other document management systems.
  • Knowledge of ISO 9001 quality management systems, controlled documentation, inspection records, and technical instructions.
  • Experience developing or improving document control processes.
  • Experience supporting projects across multiple manufacturing sites or international locations.
