Job summary

Bryn Mawr Trust, a WSFS Company, is seeking an experienced Administrative Assistant to support Wealth Directors and Advisors in a fast-paced setting. You will manage account opening materials, coordinate client correspondence, and ensure accurate data across Salesforce and custodian platforms.

The role requires strong MS Office skills, 5+ years of client service experience, and a focus on delivering exceptional client service to high-net-worth individuals.

Qualifications

  • Minimum 5 years of experience in administrative client service.
  • Proficient in Microsoft Office 365 including Excel, Word and PowerPoint.
  • Familiarity with custodian platforms and investment systems.

Responsibilities

  • Manage multiple time sensitive tasks for internal and external clients.
  • Coordinate with Wealth Director and Advisors on preparation and mailing of client correspondence.
  • Assist account opening processes for all account types with custodians.
  • Provide client service support to Wealth Director and Advisors, including cash movement requests and fee reviews.
  • Coordinate client meetings and tailor presentation materials to client needs.
  • Serve as first point of contact for high-net-worth clients and support administration.
  • Anticipate team needs and ensure compliance and meeting readiness.
  • Maintain accurate client data in Salesforce and portfolio systems.
  • Support general office management and process improvements.

Job Responsibilities
  • Manage multiple time sensitive tasks simultaneously for both internal and external clients. Those tasks include preparation of account opening and closing forms/paperwork, asset gathering at initial account funding, transferring money, paper and electronic filing.
  • Coordinating with Wealth Director, Wealth & Trust Advisors and Investment Advisors, on preparation and mailing, or emailing, of client correspondence, including required disclosures, Investment Policy Statements and account opening paperwork.
  • Assist the account opening process for all account types. Be able to prepare account opening paperwork in an efficient manner with Fidelity, Schwab, or a like custodian.
  • Provide client service support to Wealth Director, and Wealth and Trust Advisors, Investments Advisors This service includes cash movement requests, quarterly fee reviews, fee refunds, preparing reports and presentations.
  • Coordinate client meetings for Wealth Directors and Wealth and Trust Advisors and assist in meeting preparation. Be willing and able to systemically tailor client presentation materials to the needs of the client and Wealth Director or Wealth and Trust Advisor.
  • Serve as first point of contact for high-net -worth clients, as well as build and maintain those relationships by providing exceptional client service support. Answer the main phone line on a rotating and recurring basis. Provide backup to sort/scan and distribute mail, as needed.
  • Proactively anticipate the needs of the team and help them stay ahead of compliance requirements, internal requests and preparing for meetings.
  • Maintain accurate client data on the Salesforce (CRM), custodial platforms and portfolio management systems.
  • Administer complex and precise processes in support of client needs. Contribute with process improvement ideas. Contribute to Division initiatives (systems conversions, projects, etc.).
  • General office management duties such as ordering supplies, administrative duties, including the scanning and filing of client materials.
Minimum Qualifications
  • Must have high school diploma required, however, a bachelor’s degree in business administration, finance or a business-related major is highly preferred.
  • General knowledge, understanding and application of custodian platforms and investment principles, securities processing and clearing; portfolio and client management systems;
  • Preferred experience with Trust Accounting systems (SEI experience a plus)
  • Must have minimum 5 years of experience in administrative client service required
  • Strong Microsoft Office 365 skills including Excel, Word and PowerPoint and basic numeracy are required.
  • Experience with custodian platforms and/or investment system is preferred.
  • Must be able to juggle priorities, be organized and have an adjustable social style.
  • Must exhibit initiative, and the ability to complete assigned tasks efficiently and with little supervision.
  • Must have no disclosures on Form U-4, if licensed.

Salary Range

$53,744.00 - $88,290.50

Individual base pay may vary on additional factors such as the candidate’s experience, job-related skills, relevant education, geographic location, and other specific business and organizational needs.
