Job summary

St Mary's CofE Primary School in Bath is seeking an experienced School Office Manager to lead the school office and ensure efficient administrative, personnel and financial systems. The role reports to the Headteacher and involves line managing administrative and cleaning staff, with responsibilities across admissions, records, events and budget management.

You will oversee reception, provide confidential support to senior leaders, maintain pupil and staff records, and act as Clerk to Governors

Role: Office Manager

Location: St Mary's CofE Primary School, Timsbury

Start Date: October 2026

Closing Date: 18.09.2026

Interview Date: wk com21 .09.2026

Hours: 37 per week, Monday to Friday, term time, plus 5 inset days, plus one additional week in the holidays.

Salary: Grade 6 and scale point range 18 -22, £16.35 - £17.47 per hour (FTE £31,537 - £33,699), actual salary £27,821 - £29,728

We are now looking to appoint an enthusiastic and highly organised School Office Manager to join our team. This is a key role within the school, providing effective leadership of the school office and ensuring that our administrative, personnel and financial systems operate efficiently and professionally.

About the role

Reporting to the Headteacher, the School Office Manager will play a central role in the day-to-day running of the school. You will oversee the school’s administrative functions, provide high-quality support to the Headteacher and senior leaders, and act as an important point of contact for pupils, parents, staff, visitors and external organisations.

The successful candidate will also be responsible for line managing administrative and cleaning staff, ensuring that the school office provides a welcoming, efficient and responsive service.

The role includes responsibility for:

  • Managing the day-to-day operation of the school office and reception.
  • Providing confidential administrative and secretarial support to the Headteacher and senior leaders.
  • Maintaining accurate pupil, medical, attendance and personnel records.
  • Managing admissions, pupil movements and statutory returns.
  • Supporting the management of school events, newsletters and wraparound clubs.
  • Overseeing personnel administration, including recruitment processes, onboarding, DBS checks and the Single Central Record.
  • Acting as a first point of contact for staff queries relating to pay and contracts.
  • Managing ordering, purchasing, payments and relevant administrative budgets.
  • Using school management systems, including Arbor and PeopleXD, to maintain accurate records and process information.
  • Supporting the nursery with its administrative arrangements.
  • Liaising with the Trust and external agencies on matters including maintenance, transport and compliance.
  • Leading and supporting office and site staff, delegating tasks effectively and ensuring high standards of work.
  • Maintaining confidentiality and contributing to the safeguarding and welfare of children and young people.
  • Clerk to Governors: Serve as Clerk to the governing bodies for both this school and Trinity Church School, coordinating agendas, taking accurate minutes and ensuring statutory compliance with support from the central team.

You will need excellent communication and interpersonal skills, a strong customer service ethos and the ability to manage competing priorities while maintaining a high level of accuracy.
