Job summary

New Hall School is seeking a part-time School Administrator (Examinations) to support the Examinations Manager in planning, coordinating, and delivering internal and external examinations. You will also assist with Access Arrangements administration under the Head of Learning Development.

The role requires experience in examination administration, strong IT skills, and a commitment to the Catholic ethos of the school.

Responsibilities

  • Assist the Examinations Manager with electronic entry of candidates for examinations, ensuring accuracy of entry codes and tiers.
  • Distribute examination entry forms to students and Heads of Department.
  • Assist in production of timetables for internal and external examinations and distribute to students and staff.
  • Assist in coordinating and supporting the invigilation team, including training arrangements.
  • Ensure secure examination materials are kept secure and JCQ regulations are followed.
  • Support Examinations Manager to run examinations in line with JCQ regulations; be present in venues at start/end.
  • Act as lead invigilator when required.
  • Assist in the secure collection, preparation and postage of examination materials.
  • Proofread documents for accuracy and style.
  • Review processes and propose improvements, efficiencies, and cost savings.

New Hall School is seeking to appoint a School Administrator (Examinations) to join our School on a term time only basis. The School Administrator will support the Examinations Manager in ensuring the effective planning, coordination, and delivery of internal and external examinations. Alongside this role, the School Administrator (Examinations) works to support the Head of Learning Development in the administration of Access Arrangements for students.


The role contributes to the smooth running of the School's administrative function and upholds the School's Catholic ethos, values, and strategic aims.


Key responsibilities:


  • to assist the Examinations Manager with the electronic entry of candidates for examinations, ensuring accuracy of entry codes and tiers
  • to distribute examination entry forms to students and Heads of Department
  • to assist the Examinations Manager in the production of timetables for internal and external examinations and to distribute these to students and relevant staff
  • to assist in coordinating and supporting the invigilation team, including training arrangements
  • to ensure that secure examination materials are always kept secure and that the JCQ regulations are always adhered to
  • to support the Examinations Manager in ensuring that all examinations are run according the JCQ regulations; this includes being present in the examination venues at the start and end of examinations
  • to act as a lead invigilator when required
  • to assist the Examinations Manager in the secure and accurate collection, preparation and postage of examination materials
  • to proofread documents, ensuring accuracy and adherence to house style and administrative guidelines
  • to review administrative processes and to propose improvements, efficiencies, and cost savings

The successful candidate will be expected:


  • to have a clear understanding of, and commitment to, the aims and ethos of a Catholic independent boarding and day School
  • to be educated to A Level standard (or equivalent)
  • to have previous experience of working in a School or similar educational environment
  • to have experience in examination administration or invigilation
  • to have excellent communication, organisational, and interpersonal skills
  • to demonstrate a high level of accuracy, discretion, and attention to detail
  • to have strong IT skills, including experience with databases and spreadsheets
  • to demonstrate a calm, approachable, and empathetic manner when working with young people
  • to be able to manage a varied workload, prioritise effectively, and work under pressure
  • to demonstrate a positive, proactive, and flexible attitude

Information about the School

New Hall is a Catholic independent boarding & day School for girls and boys aged 1-19. New Hall School operates the highly successful ‘diamond model’, where students are educated in co-educational classes from ages 1 to 11 and at Sixth Form. However, from ages 11 to 16 they are taught in single-sex lessons.


From the moment New Hall students first travel up the mile-long, tree-lined avenue that leads to the grand façade of the former Tudor palace, they will be given individual opportunities to grow, learn, be challenged and to develop into confident young men and women.
