Job summary

Young Foundations Limited is seeking an experienced administrator to join Howard House School in Bedlington, Northumberland. The role will support governance administration and maintain pupil records, ensuring ISS registration requirements are met.

The successful candidate will manage diary coordination for Governor meetings, handle exams paperwork, and provide reliable admin support across the school. Strong MS Office skills and teamwork are essential.

  • Excellent verbal and written communication skills.
  • All-round administrative experience.
  • Building positive professional relationships.
  • A good knowledge of MS Office Suite; experience with databases.
  • Highly organised and adaptable to change.
  • Ability to work as part of a team and using your own initiative.
  • Demonstrates strong resilience and empathy.
  • Desire to develop professionally and undertake additional relevant qualifications.

Responsibilities

  • Support the school in meeting the continued registration requirements of the ISS.
  • Ensure efficient operation of school systems and pupil files.
  • Prepare and co-ordinate Governor’s meetings as Clerk to the Governing Body.
  • Maintain and co-ordinate examination paperwork and logs.
  • Handle administrative tasks including typing, scanning and photocopying; relay messages.
  • Be aware of policies relating to child protection, health, safety and data protection.
  • All staff to accept reasonable flexibility in working arrangements and duties.

Role responsibilities:
  • Support the school in meeting the continued registration requirements of the Independent School Standards (ISS).
  • Ensure the efficient operation of school systems, including the maintenance and collation of pupil files.
  • Prepare and co-ordinate Governor’s meeting as the Clerk to the Governing Body. Undertake agenda preparation, ensure diligent minute taking, ensure circulation of documentation is timely and appropriate in line with regulatory requirements.
  • Maintain and co-ordinate school examination paperwork as laid down by awarding body guidelines for the school site and to log all incoming correspondence in the exam logbook. Maintain exams cupboard and facilitate awarding body visits.
  • To be responsible for all administrative tasks to include typing, scanning and photocopying; taking enquiries and requests and ensuring clear and full messages via phone, email or in person are relayed to the relevant manager or followed up as necessary.
  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
  • All staff in school will be expected to accept reasonable flexibility in working arrangements and the allocation of duties across the team.
