Job Details
  • Job Title: Sales Administrator
  • Function: Sales and Proposals
  • Reporting to: Sales Director / Technical Sales Director
  • Scope: Clarke Energy Ltd
  • Location: Knowsley, with occasional UK travel required.
  • Job Purpose: To provide administrative support to the Sales, Proposals, Marketing, Legal and Commercial teams.
Responsibilities
  1. Provide general administrative support to the sales, proposals, marketing, legal and commercial teams.
  2. Organise travel and accommodation for the teams, including event coordination, and support other departments as needed.
  3. Manage and update the Salesforce system.
  4. Monitor and report on KYC / Compliance information with the Accounts department.
  5. Arrange and participate in departmental meetings, including taking minutes and managing follow-up actions.
  6. Produce and update documents for meetings.
  7. Prepare responses for Pre-qualification Questionnaires.
  8. Register CEL on client procurement software and monitor online tenders.
  9. Assist sales team with post-quotation follow-up calls.
  10. Record and archive tender documentation properly.
  11. Monitor stationary supplies and handle ordering.
  12. Maintain filing and archiving systems.
  13. Update electronic sales files regularly.
  14. Participate in internal audits.
  15. Adhere to health, safety, environmental, and quality policies.
  16. Assist with department expenses and visa applications as needed.
  17. Support attendance at conferences and exhibitions.
  18. Cover for the Personal Assistant to the President when necessary.
  19. Coordinate meeting room bookings to optimize space usage.
Required Skills and Attributes
  • Strong IT skills including Word, Excel, Salesforce, MS Project.
  • Excellent typing skills.
  • Excellent interpersonal and communication skills.
  • Ability to work well in a team and independently.
  • Effective time management and attention to detail.
  • Resilience and ability to work under pressure.
  • Flexible and adaptable attitude.
Minimum Qualifications and Experience
  • At least 3 years of experience in a demanding administrative role in a fast-paced environment.
  • Minimum A-level education or equivalent qualification.
Preferred Experience
  • Experience working in a commercial engineering or industrial environment.
