Job description

Are you a highly organised coordinator with a passion for learning and development? Do you thrive in a fast-paced environment where attention to detail, stakeholder management, and planning are key to success? Elysium Healthcare is looking for a Regional Learning & Development Coordinator to support the delivery of high-quality training across our services.

In this pivotal role, you will be responsible for the scheduling, coordination, and administration of learning activities across the region, ensuring every training course has the right trainer, the right delegates, the right resources, and accurate records. Working closely with trainers, operational teams, and colleagues across the organisation, you'll help deliver a seamless learning experience that supports compliance, capability, and professional development.

As the Regional Learning & Development Coordinator, you will manage course bookings, coordinate training schedules, arrange venues, oversee cancellations and re-bookings, and ensure learning records are accurately maintained within Elysium's Learning Management System (MEL). You'll monitor training compliance and work proactively with stakeholders to support solutions and maintain mandatory training standards across the region.

A key aspect of the role is balancing training demand across multiple services, maximising course attendance and utilisation while ensuring an efficient and cost-effective approach to training delivery. You'll collaborate with Learning & Development colleagues across the organisation to optimise capacity, share resources, and maintain Elysium's high standards for learning and development.

You'll also play an important role in maintaining accurate training data, producing reports, supporting audits, and escalating potential compliance risks where necessary. Through clear communication and strong organisational skills, you'll help ensure colleagues have access to the training they need to succeed in their roles.

Key responsibilities:
Regional Scheduling & Planning
  • Build and maintain the regional training schedule across all sites and services.
  • Coordinate trainer availability, ensuring optimal use of regional facilitation capacity.
  • Schedule delegates across the region based on need, expiry of mandatory training, risk, and operational demand.
  • Avoid duplication by using enterprise-wide capacity (not site-by-site siloing).
Delegate Booking & Attendance Management
  • Book delegates onto the right courses at the right time.
  • Manage cancellations, rebooking, and seat-filling at short notice.
  • Work proactively to prevent empty places and maximise attendance.
  • Communicate clearly with delegates and managers to ensure attendance.
Course Preparation & Session Support
  • Ensure trainers have delegate information and venue arrangements.
  • Confirm rooms, technology, and site access for trainers before sessions.
  • Resolve logistical issues ahead of time.
Data Accuracy, LMS Updating & Reporting
  • Upload attendance, cancellations, and completions accurately into MEL (LMS).
  • Ensure no backlogs, errors, or missing data.
  • Maintain accurate delegate information.
  • Provide reporting information as required on:
    • attendance
    • non-attendance patterns
    • session fulfilment
    • upcoming expiries
    • priority groups
Stakeholder Communication & Engagement
  • Maintain regular communication with Learning and Development, Hospital Directors, Registered Managers, and line managers.
  • Work with the L&D Partner to prioritise bookings based on risk and regional need.
  • Update facilitators regularly on attendance numbers, changes, or issues.
  • Collaborate with other Coordinators to share capacity and balance regional attendance.
Continuous Improvement
  • Identify patterns of non-attendance, cancellations, or errors and propose improvements.
  • Contribute to refining scheduling workflows and reporting tools.
  • Champion consistent ways of working across regions.
To be successful in this role, you will need:
Knowledge and Skills
  • Strong organisational and planning skills.
  • Excellent communication skills.
  • Attention to detail and accuracy in data entry and reporting.
  • Ability to manage multiple priorities and deadlines.
  • Proactive problem-solving and decision-making skills.
  • Understanding of training compliance and regulatory requirements.
  • Familiarity with learning needs analysis (LNA) and training forecasting.
  • Knowledge of internal and external training coordination processes.
  • Awareness of organisational learning strategies and KPIs.
Experience
  • Previous experience in a Learning & Development or HR coordination role.
  • Experience working in a multi-site or regional capacity is desirable.
  • Experience using Learning Management Systems.
  • Proven track record of managing training schedules and logistics.
