We are seeking friendly, motivated, and highly organised Receptionists to join our new Surgical Elective Centre and to work across our existing John Radcliffe and West Wing Theatres at Oxford University Hospitals. This is an excellent opportunity for someone who thrives in a busy patient-facing environment and is committed to delivering outstanding customer service. As the first point of contact for patients, carers and visitors, you will be an important ambassador for our theatres and play a key role in ensuring every patient receives a safe, welcoming and positive experience. Duties include checking patients in and out of theatre suites, responding to telephone and face-to-face enquiries, preparing theatre lists and other paperwork, and maintaining an organised and professional reception area. You will work closely with nurses, surgeons, anaesthetists and administrative colleagues to support patient flow, manage queries, arrange patient transport or interpreters when required, and scan correspondence into electronic patient records. You will also handle emails and EPR messages, ensuring information is processed in a timely and accurate manner., You will be the first point of contact for patients arriving at our Theatres and will provide a professional and reassuring welcome for those attending for surgery, ensuring a high standard of patient experience. You will be a part of a team of four and will be expected to work flexibly with other team members to ensure our reception area is staffed from 07:00 am until 08:30 pm.

1. Receptionist Responsibilities

• 1. Act as the first point of contact for patients and visitors to the department.
• 2. Provide comprehensive reception support, to include taking messages and using the department technology.
• 3. Deal with patient enquiries in a sympathetic and confidential manner, signposting people appropriately and maintain a high standard of customer care at all times.
• 4. Update Trust patient information systems to ensure accurate patient information and demographics are recorded.
• 5. Book, amend and check all patients accurately.

Clerical

• 1. Provide assistance to clinical and administrative staff within the theatre suite and other areas of the trust as part of the patients pathway.
• 2. Use the appropriate Trust record systems to retrieve, book in or out (track) and send out patient notes to other services as requested.
• 3. Open incoming post and distribute to clinical and administrative staff as required.
• 4. Answer the telephone, log, manage and prioritise requests as necessary.
• 5. Book interpreter services for patients as required.

General

• 1. Demonstrate high levels of customer care and be an ambassador for our theatre suites and the Trust more widely.
• 2. Provide a robust administration function that underpins the delivery of a high-quality service and maintain effective working relationships with clinical, nursing and administrative staff.
• 3. Answer all communication including telephone, email and face to face queries, in a timely manner and action as appropriate.
• 4. Maintain patient confidentiality at all times.
• 5. Be flexible in your approach to work, such as covering other job roles at an appropriate grade or site, and to include varying working hours to ensure the service maintains a minimum level of cover during its core hours.
• 6. Take responsibility for all communications received and distribute appropriately to the clinical and administrative staff within the service.
• 7. Arrange patient transport as necessary, in line with Trust procedures.
• 8. Attend Departmental meetings and training as required to ensure that you maintain an up-to-date working knowledge of service and trust procedures.
• 9. Act in a manner aligned to our Trust Values and consistently demonstrate the behaviours that will ensure we achieve our ambition of delivering compassionate excellence.
• 10. Any other duties at the request of the departmental managers, which may be needed to fulfil the objectives of the post, which are appropriate to the grade.
