Job description

We are looking for a welcoming, organised and proactive Receptionist / Premises Support Assistant to join the Premises Management Team. This varied role combines front-of-house reception, administration and premises support, helping to maintain a professional, safe and well-run environment for staff, service users and visitors.

You will respond to enquiries, manage calls and diaries, maintain systems and records, produce documents and provide practical support to operational staff and managers. Building positive working relationships and handling information securely, you will play an important part in keeping the reception, office and wider premises functions running smoothly.

This is an exciting opportunity to join a friendly and supportive team in a varied Band 3 role where no two days are the same. Combining front-of-house reception, administration and premises support, you will be at the heart of Wonford House and play an important part in creating a welcoming, professional, safe and well-organised environment for staff, service users, visitors and contractors.

Main duties of the job
  • Provide a welcoming and professional front-of-house service, responding to visitors, calls and general enquiries.
  • Direct people to the appropriate team, service or information and resolve routine queries promptly.
  • Provide day-to-day administrative and secretarial support, including diary management, correspondence, document preparation and note taking.
  • Maintain accurate records, online systems and filing processes, including storing, retrieving and archiving information.
  • Manage the booking system for Wonford House clinics, including processing bookings, maintaining accurate availability and responding to booking enquiries.
  • Adapt to new systems and processes, developing the knowledge and confidence needed to use them effectively.
  • Communicate effectively with employees, service users, managers, HR and other internal and external contacts.
  • Handle confidential and sensitive information securely and in line with Trust procedures.
  • Support the smooth running of the reception, office environment and wider premises services, reporting issues and assisting with practical tasks as required.
  • Work flexibly with colleagues across the Premises Management Team to maintain an efficient and responsive service.

Experience
  • Experience of working in a customer focused environment.
