The facility will offer a wide range of specialist services delivered by leading clinicians, supported by cutting-edge technology and a strong focus on patient-centred, same-day care. With a variety of new roles being created across clinical and operational teams, Welbeck Oxford presents an opportunity to join an innovative, forward-thinking environment that is set to redefine private healthcare provision in the area.

About the role

As a Front of House Receptionist, you will play a central role in creating an exceptional experience for patients, visitors and consultants at Welbeck Oxford. As one of the first people guests encounter when they arrive at the centre, you will be responsible for delivering a warm, professional and seamless welcome while ensuring the smooth day-to-day operation of the reception function.

Reporting to the Reception Lead, you will provide a responsive and efficient front-of-house service, supporting patients throughout their journey and ensuring all enquiries, appointments and administrative processes are managed to the highest standard. Working closely with consultants, clinical teams and administrative colleagues, you will help create a premium healthcare experience that reflects Welbeck's commitment to excellence.

This is a unique opportunity to join a brand-new healthcare facility from the outset and contribute to establishing a first-class patient experience. The role is ideally suited to an experienced receptionist or customer service professional who thrives in a fast-paced environment, takes pride in delivering exceptional service and enjoys building positive relationships with a wide range of people.

Overview of key responsibilities:
  • Deliver a warm, professional and discreet welcome to patients, visitors and consultants

  • Provide an outstanding front-of-house experience, creating a positive first and lasting impression

  • Manage patient arrivals and departures, ensuring a seamless and efficient journey through the centre

  • Handle incoming telephone calls and enquiries, directing them appropriately and professionally

  • Coordinate appointments and support patient scheduling processes

  • Issue itineraries and provide guidance for patients attending multiple appointments or procedures

  • Monitor shared mailboxes and ensure enquiries are responded to or redirected in a timely manner

  • Process payments from self-pay patients and verify private medical insurance information where required

  • Maintain reception, waiting and guest-facing areas to the highest standards

  • Liaise closely with consultants, clinical teams and administrative colleagues to support service delivery

  • Sort and distribute incoming post and support day-to-day centre operations

  • Ensure contractors and visitors are logged in accordance with centre procedures

  • Maintain accurate patient and administrative records using relevant systems

  • Handle confidential information in line with GDPR and information governance requirements

  • Support service improvement initiatives and contribute to enhancing the patient experience

  • Assist with cross-cover and additional administrative duties to ensure the smooth running of the centre

  • Adhere to all organisational policies, regulatory requirements and quality standards

About you

You will already have experience in a customer-facing reception or front-of-house role, ideally gained within a healthcare, private healthcare, hospitality or other premium service environment. You understand the importance of delivering exceptional service and take pride in creating a welcoming, professional and efficient experience for every patient and visitor.

You are organised, adaptable and confident managing multiple priorities in a busy environment. Your communication skills enable you to build strong relationships with patients, consultants and colleagues, while your attention to detail ensures that information is managed accurately and professionally.

You remain calm under pressure, approach challenges positively and are comfortable working both independently and as part of a wider team. Above all, you are committed to delivering a service that reflects Welbeck's values of Ambition, Kindness, Collaboration and Empowerment.

You will also bring:
  • GCSEs, NVQ or equivalent qualification in Customer Service or a related discipline

  • Evidence of continuing professional development in administration, customer service or healthcare

  • Previous experience in a high-quality customer-facing role, ideally within a healthcare or 5-star hospitality environment

  • Strong organisational and time-management skills

  • Excellent verbal, written and interpersonal communication skills

  • High levels of accuracy and attention to detail

  • Proficiency in Microsoft Office, including Outlook, Word and Excel

  • Confidence using databases, guest management or appointment booking systems

  • Experience handling confidential information and maintaining GDPR compliance

  • The ability to manage competing priorities and work effectively in a fast-paced environment

  • A professional, positive and flexible approach to work

  • The ability to work collaboratively across multiple teams and functions

  • Basic financial administration skills, including payment processing, would be advantageous

  • An understanding of healthcare administration, patient pathways or CQC standards would be beneficial

If you are looking to bring your front-of-house expertise to an exciting new healthcare facility and play a key role in delivering a premium patient experience, we would love to hear from you.
