Job summary

The University of Oxford is seeking a full-time Receptionist to join our Facilities Management team. You will deliver a welcoming front-of-house service across our city-centre buildings, handling enquiries, room bookings, mail, deliveries, and access control.

This FTC role is on-site only at Oxford City Centre locations, with opportunities to train as a first aider or fire marshal, rotating across venues and delivering high-quality administration and guest services.

Qualifications

  • Proficiency in Outlook, Word and Excel.
  • Ability to work on-site in Oxford.

About the Role

Our receptionists represent the University at some of Oxford’s most prominent buildings, providing a warm, professional, and efficient front-of-house service to staff, students, and visitors. With the introduction of our new Dynamic Reception Support service, you will play a key role in delivering essential reception cover across the University—stepping in where support is needed most.

This is a varied and fast-paced role where no two days look exactly the same and require the successful candidate to be comfortable with continual change. You might be welcoming guests, coordinating room bookings, issuing access cards, managing mail and deliveries, or assisting with small administrative tasks. You will also contribute to maintaining a safe and secure environment and may be required to train as a first aider or fire marshal.

As a valued member of our team, you will have the opportunity to work in different locations, bringing variety to your day and allowing you to connect with people from across the University. You will help deliver a seamless, polished service that reflects Oxford’s world-class reputation, all while being part of a supportive community committed to excellence.

Please note that this role is fully on-site, with no remote working options.

  • A good understanding of standard administrative procedures, evidenced by work experience at a similar level.
  • The person appointed must enjoy working with people and have a competent, professional manner in dealing with customers, both face-to-face and by telephone and e-mail as appropriate.
  • Ability to use standard computer programs (Outlook, Word, Excel)
  • To demonstrate good communication skills (both oral and written)
  • To possess inter-personal skills needed to relate to a wide range of people, particularly when responding to requests and enquiries.
  • Adaptable and willing to learn
