A leading consultancy in the oil and gas industry is seeking a professional Receptionist/Facilities Coordinator for its Conwy site. The role is crucial for managing front-of-house operations, ensuring safety compliance, and supporting administrative functions. This fixed-term contract offers a potential transition to a permanent position based on performance.

Overview
We are seeking a professional and proactive Receptionist/Facilities Coordinator to manage front-of-house operations and support the smooth day-to-day running of our site in Conwy. This role is pivotal in creating a welcoming environment for staff and visitors, while also ensuring the efficient coordination of facilities and administrative functions.
We are offering this position as a6-month fixed-term contract, with theopportunity for extension or transition to a permanent rolebased on business needs and individual performance.
Key Responsibilities
Front of House
Greet and manage all visitors in a professional and friendly manner.
Act as the first point of contact for incoming calls, post, parcel deliveries, and warehouse collections.
Liaise with on-site contractors and service providers.
Hold and manage site keys during working hours (no out-of-hours cover required).
Coordinate facilities-related tasks, including scheduling servicing, inspections, and repairs.
Arrange and procure refreshments or catering for meetings and visitors as required.
Procurement Support
Assist with purchasing activities across the business, including:
Office supplies (e.g. stationery, kitchen, and cleaning products)
IT equipment
Laboratory and operational items
Administrative Support
Monitor and respond to general email enquiries.
Arrange outgoing post and courier services.
Provide general administrative support to various departments as needed.
Health & Safety
Conduct weekly fire alarm tests and maintain records.
Perform routine safety checks (e.g. first aid kits, fire extinguishers, fire doors).
Record monthly electricity and gas meter readings.
Schedule and log maintenance, inspections, and repairs.
Support contractors while on-site.
Take roll call during fire evacuations and assist with emergency procedures.
Requirements
Highly organised, methodical, and able to prioritise effectively in a busy environment.
Strong attention to detail.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Ability to provide a high standard of service to both internal and external stakeholders.
Capable of using initiative to resolve issues independently and escalate when necessary.
Able to manage multiple tasks efficiently and meet deadlines.
Trusted to handle sensitive information appropriately.
Desired Skills and Experience
Full UK driving licence.
Certification or willingness to be trained in basic first aid or fire safety procedures.
Previous experience in a receptionist, office coordinator, or facilities support role.
Understanding of workplace safety standards and compliance.
