Job summary:
Reporting to the Director, this multifaceted role primarily involves front desk duties, administrative support for our central services function as well as office management and assistance to directors within the business. The successful candidate will play a pivotal role in ensuring the smooth operation of our London office.
Job Accountabilities:
Reception, Switchboard
- Warmly welcome all visitors to the office, providing a professional and engaging first impression.
- Efficiently handle incoming calls via our switchboard as well as emails, ensuring a courteous and prompt response.
- Take ownership of meeting room setup, ensuring all IT is in working order and ready for the day.
- Facilitate meeting and travel arrangements in a timely manner.
- Facilitate any upcoming events and plan accordingly.
- Liaise with building management and reception staff at our London premises
- Ensure that the reception area, office, meeting rooms and kitchen are kept presentable at all times.
- Ensure that the coffee machine has had its daily cleaning cycle, is topped up with coffee pods and milk and is ready to use for the day.
Support to Directors
- Extensive calendar and diary management.
- Organise and schedule meetings, book business travel arrangements, including flights, transportation, and hotel bookings.
- Communicate with Board Members, schedule Board meetings and arrange.
- Liaise with clients and business guests.
- Organise inhouse events for Praxis intermediary events, arranging client lunches/dinners as well as organising quarterly team events.
Facilities/Office Management
- Assist in maintaining premises, furniture, and equipment to ensure they are in optimal condition.
- Support the implementation of security procedures to safeguard the building.
- Maintain fire procedures, floor plans and internal circulation lists.
- Implement and uphold polices and procedures.
- Ensure adherence to health and safety protocols.
- Solve simple IT issues and contact IT when necessary.
- Be the direct contact for office facilities contractors and external parties, being proactive with simple tasks/queries.
Office Support
- Provide support to the administration teams and directors as and when needed.
- Manage stationery and kitchen orders and verify deliveries.
- Maintain office correspondence, including sending and receiving post.
- Ensure the copy printer is topped up and loaded with the correct paper and that ink cartridges are full.
- Ensure new starters are set up, have properly equipped workstations and a work pass.
Minimum Education and Experience
- A minimum of two years’ relevant experience
- A level or equivalent
