For many of our patients, you'll be one of the first people they speak to when they need our help.
That makes this much more than answering phones and booking appointments.
At Allied Medical Practice, we're looking for a Receptionist and Administrator to join our team across School House Surgery and Church Surgery in Brighton.
You'll help patients navigate our services, make sure information gets to the right people and support our clinical teams with the administration that keeps a busy GP practice running.
Some days will be busy. Priorities can change quickly. You'll speak to people who are worried, frustrated or simply unsure where to turn.
That's why we're looking for someone who is organised, calm, approachable and genuinely wants to help people.
You’ll be one of the first points of contact for our patients, whether they’re speaking to us face‑to‑face or over the phone.
You’ll help with appointments, respond to queries and make sure patients are directed to the right person or service.
Sometimes that means dealing with straightforward requests. At other times, you’ll need to listen carefully, follow our processes and recognise when something needs to be escalated.
There’s a lot that happens behind the scenes in General Practice.
You’ll support the day‑to‑day administration that helps our clinical teams deliver care, including managing emails, correspondence, patient records and other administrative tasks.
You’ll need to be comfortable juggling different priorities while maintaining accuracy and confidentiality.
You’ll book, amend and cancel appointments, helping us make the best use of the clinical time available.
You’ll also deal appropriately with urgent appointment requests and home visit requests, following practice procedures to make sure information reaches the right clinical colleague.
You’ll support the processing of repeat prescription requests in line with practice procedures and help ensure they’re dealt with efficiently.
You’ll also help process referrals from our GPs, making sure information is complete and sent to the appropriate service.
Accurate information is essential to safe patient care.
You’ll help manage correspondence and hospital letters, update patient records, support new patient registrations and make sure information is coded, filed or passed to the appropriate member of the clinical team.
You’ll work with our clinical system, SystmOne, and maintain patient confidentiality at all times.
You’ll work closely with GPs, nurses, healthcare assistants, administrators and practice colleagues.
Good primary care depends on people working together, so you’ll communicate regularly with colleagues both within the practice and across other NHS and healthcare services.
You’ll be someone your colleagues can rely on to follow things through and get the details right.
Our Brighton practices are developing and changing, so we’re looking for someone who is comfortable being part of a service that continues to evolve.
For this role, that doesn’t mean we expect you to come in and transform General Practice.
It means being willing to learn, being flexible when things change and approaching problems with a positive, practical attitude.
You’ll probably enjoy this role if you:
You don't need to know everything about General Practice on day one.
What matters is that you're willing to learn, care about doing a good job and understand that even the smallest interaction can make a difference to a patient's experience.
You'll need:
It would be great if you also have experience in customer service, understand basic medical terminology or have experience coding or summarising medical records.
Allied Medical Practice operates across School House Surgery and Church Surgery in Brighton.
You’ll be joining at an important time for our Brighton practices.
We’re continuing to develop the way our teams work together and strengthen links across our wider Sussex primary care services, helping colleagues share knowledge, experience and support.
Our practices are busy and our patients have a wide variety of needs, so no two days will be exactly the same.
You’ll be part of a team that is focused on providing a good service to our patients while continuing to improve how we work.
