We are looking for an enthusiastic individual to join our team as a Receptionist.
Frenchay Brain Injury Rehabilitation Centre, part of the Active Care Group, is a modern newly built independent hospital run in partnership with the NHS (North Bristol NHS Trust). It provides an inpatient Level 1 intensive brain injury rehabilitation service (29 NHS England funded beds) for the South West of England and has now refurbished its old building to provide a further 23 slower-stream neuro-rehabilitation beds (Level 2). Both services will be managed in partnership with North Bristol NHS Trust.
What you'll be working:
Full-Time Receptionist
Full-time: 37.5 hours per week (Monday-Friday 9am – 5pm)
Salary: £12.87
What you'll be doing:
Be responsible for the efficient delivery of high-quality reception cover, clerical and other administrative services.
Assist with the day-to-day administrative functions to ensure the smooth running of the Centre.
Provide a friendly, welcoming reception service to all visitors, patients, and relatives.
Ensure confidentiality is always adhered to by staff in the proximity of the reception area.
Ensure that visitors to the Centre are signed in and out of the Visitors Book.
Ensure the Reception Desk is covered throughout the working day.
If required, escort visitors to their destination in the Centre.
Communicate sensitively with patients and relatives.
Answer telephone calls, taking accurate and concise messages and action appropriately.
Deal with general queries and enquiries in an efficient, polite, and professional manner.
Answer the car barrier phone; ensuring visitors are specifically for the Frenchay Brain Injury Rehabilitation Centre.
Key Result Areas (MAIN DUTIES & RESPONSIBILITIES OF THE POST):
Be responsible for the reception duties on the front desk, ensuring an efficient and welcoming reception service is provided to all visitors to the Centre.
Manage incoming and outgoing post on a daily basis.
Ensure the stationary cupboard is adequately stocked.
Take delivery of goods, check delivery notes against goods received and pass details of the delivery to the relevant person.
Check goods invoices and highlight errors/omissions.
Maintain the Centre notice boards on a weekly basis, ensuring all information is up to date and tidy.
To cover Reception on Bank Holidays in rotation with other Reception staff.
Provide high standard administration to the Multi-disciplinary Team for their clinical work including the typing of letters, minutes, correspondence, discharge reports, review documents and general typing duties.
Provide administrative support for the Multi-disciplinary Team including filing, photocopying etc.
Be responsible for organising patient reviews, setting the dates, inviting the relevant people, typing the reports and distributing them as necessary.
Support the Multi-disciplinary Team in maintaining effective communication and team working.
Maintain a high standard of patient and staff confidentiality.
Assist with the day-to-day administrative functions to ensure the Centre operates effectively and efficiently.
Work in conjunction with the admin team, providing cover for their work when required and assisting when workload demands.
As a member of the Team, contribute to the induction and training of new staff as appropriate.
Accept designated responsibilities from the Hospital Director appropriate to the job role.
Arrange patient appointments, liaising with external professional agencies, e.g. other Hospital Departments, Dentists, Opticians, and the BIRU Medical Team.
Book transport for patient appointments and organise BIRU Driver timetables.
Prepare for external appointments by liaising with patients and family members to determine benefit.

Be required to develop and maintain good working relationships with colleagues, patients, visitors, carers, members of the multi-disciplinary care team and senior professional and managerial staff.
Conform at all times to the Policies and Procedures of the Company, with regard to confidentiality, financial and administrative responsibilities, and treat patients, colleagues and visitors with dignity and respect at all times.
Practice the requirements of the Health and Safety at Work etc Act 1974 and take responsibility for ensuring that work is undertaken in such a manner as to ensure the health, safety and welfare of themselves and others. This should be done by ensuring that work is undertaken in accordance with instructions and training received, and by reporting any area posing a potential health and safety concern.
