Receptionist (6-month fixed-term contract)


Monday - Friday


40 hours per week


We are seeking a professional, welcoming, and experienced Receptionist to join our team. You will perform reception, administration, and secretarial duties efficiently and effectively for the building you are assigned to.


Your responsibilities will include managing access points, maintaining fob access systems, keeping the reception area tidy, handling phone calls and emails promptly, and sorting incoming mail and packages.


As a Corporate Receptionist, you will manage documentation, oversee building security, assist with visitor queries, issue passes, support emergency evacuations, and handle ordering of supplies.


The ideal candidate will have a friendly, approachable manner, professional demeanor, strong communication skills, and be IT literate. Ability to prioritize and work efficiently to deadlines is essential.


Key Duties
  • Provide a warm, courteous welcome to visitors.
  • Handle incoming calls and enquiries promptly.
  • Assist with meeting room bookings and liaise with relevant parties.
  • Coordinate with team members and departments for service delivery.
  • Check meeting rooms for proper setup and readiness.
  • Report maintenance issues to the appropriate managers.
  • Maintain an organized reception and meeting area.
  • Anticipate and meet client needs, exceeding expectations.
  • Communicate visitor arrivals and escort visitors as needed.
  • Keep visitors informed of delays and ensure their comfort.
  • Replenish meeting rooms with supplies.
  • Serve hospitality promptly and to high standards.
  • Support with AV equipment and collate reception statistics.
  • Maintain stationery stocks and update procedures manual.
  • Follow health and safety protocols, report hazards, and attend training.
  • Test and record catering fridge temperatures.
  • Assist with first aid and incident reporting.
  • Manage visitor and staff passes, and coordinate visitor lists and parking.

  • Effective verbal and written communication.
  • Intermediate skills in Excel, Word, Outlook/Lotus Notes.
  • Strong numerical skills.
  • Calm under pressure, customer-focused.
  • Professional, organized, logical thinker.
  • Ability to multitask, work flexibly, and build rapport.
  • Enthusiastic, committed, with a good sense of humor.
Experience
  • Customer service experience essential.
  • Corporate experience and previous receptionist roles desirable.
  • Ability to work independently and in a team.
