Job Title: Project Coordinator (Home Care Division)

We’re looking for someone to join a fast-paced team to assist with project management. This role is essential for maintaining smooth workflow through facilitation of briefings, communication, and resource management within the team.

The ideal candidate must be highly organized and have experience or interest in digital design. You will collaborate with multiple designers to organize workflow, manage files, take briefings, and consult on design outputs and decisions throughout the process.

This role focuses on servicing a key brand in the Home Care division, responsible for project delivery, stakeholder management, and enhancing team efficiency and productivity. The position reports to a Project Director.

Day-to-Day Responsibilities:
Workflow Management & Documentation
  • Coordinate daily huddles
  • Maintain and update the Kanban board
  • Triaging and assigning work/briefs
  • Ensure deadlines are met by coordinating ongoing briefs
  • Follow up with brands for assets and feedback, and help unblock issues
  • Keep Notion documentation current
  • Manage asset bank, including packshots, logos, fonts, and brand books
  • Organize file sharing folder structure and ensure designers upload their work
  • Prepare and send weekly brand dispatches to brand liaisons
Taking Briefs
  • Ensure briefs are complete, qualified, and properly interrogated; schedule face-to-face/video briefings
  • Collect and organize assets for accessibility
  • Keep Kanban brief information updated and complete
QA & Feedback
  • Review work against briefs before sending to brands
  • Gather and interpret stakeholder feedback and ensure implementation
Team Management
  • Manage operations smoothly and oversee team members working on assigned brands
  • Review deliverables and identify improvement areas
  • Identify upskilling opportunities for team members
  • Assist in managing team budget and demonstrate positive ROI
Brand Knowledge
  • Learn and ensure all output adheres to brand design principles
  • Serve as a point of contact for brand team information affecting the design schedule
  • Build and maintain relationships with brand teams to ensure service levels are met
