Job summary

Xquisite Productions in Merstham, Surrey, is seeking a Project Manager to join our in-house team. You will be the key link between clients, the creative team and our workshop, ensuring projects stay on track from briefing through to completion.

You will manage timelines, budgets and people while supporting outstanding creative delivery across live events and experiential builds. This role requires structured, communicative leadership and hands-on production confidence.

Qualifications

• Proven experience managing projects in events, experiential, production, creative, or agency environments.
• Strong understanding of the production lifecycle from planning to live days.
• Confident handling budgets, suppliers and multiple project schedules.
• Excellent client-facing and internal communication skills, with a calm, solution-focused mindset.
• Highly organised, detail-driven, able to manage multiple priorities in a fast-paced setting.

Responsibilities

• Manage projects from concept to completion with focus on delivery quality.
• Act as primary client contact and provide regular updates; manage expectations.
• Create and maintain project schedules and production plans; oversee live event timelines.
• Coordinate internal teams and external suppliers/freelancers to ensure on-time delivery.
• Control budgets, purchase orders and cost tracking to meet budget targets.
• Identify risks early, solve problems proactively and escalate when needed.
• Support production build, transport, installation and on-site delivery for live events.
• Maintain accurate briefs, plans, approvals and post-project reporting.

We’re looking for aProject Managerto join our team and help deliver world-class projects.

The Role

Our in-house Project Management team are experts in technical event production and act as the key link between our clients, creative team, and workshop. You’ll be thefirst point of contactand the “eyes and ears” on projects — ensuring everything stays on track from initial briefing through to completion.

This is a role for someone who can combinestructure, communication and production confidence— managing timelines, budgets and people while supporting outstanding creative delivery.

Key Responsibilities

• Manage projects fromconcept to completion, ensuring smooth delivery and exceptional quality
• Act as primary client contact: communicate plans, provide regular updates, and manage expectations
• Build and manage project schedules, production plans and live/event delivery timelines
• Coordinate internal teams (design, workshop/fabrication, operations) and external suppliers/freelancers
• Manage budgets, purchase orders and cost tracking; ensure projects deliver on time and in budget
• Identify risks early, solve problems before they happen, and elevate when needed
• Support production build, transport, installation and on-site delivery for live events
• Keep documentation accurate: briefs, plans, approvals, running orders, post-project reporting

• Proven experience in project management withinevents, experiential, production, creative, or agency environments
• Strong understanding of the production lifecycle — from planning and build through to installation and live days
• Confident managingbudgets, suppliers, and multiple project schedules
• Excellent communication skills (client-facing and internal), with a calm, solution-focused mindset
• Highly organised, detail-driven, and able to manage multiple priorities in a fast-paced environment
• Technical event production knowledge (AV, staging, builds, logistics, live event management)
• Experience with immersive environments, exhibitions, roadshows, retail builds or product launches
