Join our dynamic team as a Production Coordinator, playing a crucial role in delivering exceptional live events and high-quality video productions within a fast-paced, collaborative environment. You'll be the linchpin, ensuring seamless execution across our client's London-based events and supporting our video production studio. This role involves close coordination with our Technical and Coordination team in Mountain View, California, offering a unique opportunity to work across international boundaries.

Duties & Responsibilities

  • Manage the entire event lifecycle, from initial booking through to successful execution.
  • Act as the primary point of contact for event stakeholders, fostering strong relationships and ensuring clear communication.
  • Oversee all logistical aspects of events, including vendor management and resource allocation.
  • Maintain meticulous event records and documentation, ensuring accuracy and efficiency.
  • Effectively manage communication between London and Mountain View, California teams.
  • Calendar and diary management including meetings between London and Mountain View, California.
  • Provide comprehensive support for video production shoots, assisting with scheduling and on-set logistics.
  • Coordinate studio bookings and manage resources, optimising studio utilisation.
  • Collaborate with production teams to ensure smooth shoot operations.
  • Support post-production processes including file delivery to key stakeholders.

Skills & Qualifications

  • Ability to establish relationships and maintain a positive rapport with colleagues, clients, vendors and suppliers
  • Strong oral and written communication skills
  • Highly organised with excellent time management skills to handle multiple tasks simultaneously, meet strict deadlines, and maintain attention to detail
  • Knowledge of Google applications
  • Creative problem solver, resourceful, and a team player
  • Calm and flexible approach to handling the pressure and stress of ever-changing demands
  • Ambitious, proactive and flexible when working in fast paced environment
  • Demonstrated ability to collaborate with colleagues at all levels
  • Self starter that can demonstrate being open to learning
  • Understanding and experience of various event formats, including Q&A, training events, town hall meetings etc

Education & Experience

  • Experience in meeting planning or stage management
