Job summary

AllSaints is seeking a Production Coordinator to oversee product critical paths, track tasks, and report on performance to ensure on-time delivery for DTC and wholesale channels.

Based at East London Studios, you will partner with multiple departments and suppliers to optimize quality, efficiency, and cost. The role requires strong Excel skills, proactive collaboration, and a passion for fashion.

Responsibilities

  • Update and lead weekly delivery schedules with vendors and departments.
  • Analyse delivery schedules and inform Production Manager of changes.
  • Maintain and update the production delivery schedule.
  • Prepare monthly, seasonal and annual vendor performance reports.
  • Collaborate with Garment Tech to resolve fit issues affecting the critical path.
  • Ensure supplier dates and documents align with shipping and handover.
  • Generate weekly intake vs forecast reports with causes and actions.
  • Coordinate with Buying, Merchandising and Wholesale on orders and One World.
  • Provide vendors with manuals and checklists as required.
  • Support Production Manager on special projects and launches.

THE ROLE

The position of Production Coordinator is responsible for overseeing and managing the various product critical paths to support speed to market & wholesale on a day-to-day basis. The Production Coordinator will track tasks, deliverables and issues through to completion and resolution, reporting on this process and the performance of our supply base.

This position interfaces with multiple internal functions as well as directly with suppliers, with the clear directive of achieving the highest quality, efficiency and optimized product throughput cost while supporting Design’s product vision and the need to take in product on time for DTC channels and our wholesale partners.

ABOUT THE TEAM

Based at our East London Studios, this role reports to the Global Director of Responsible Sourcing and Supplier Relations.

  • Ensure weekly delivery schedule is updated by vendors and lead meetings held with relevant departments to discuss changes and possible solutions
  • Analyse and review delivery schedule and update Production Manager highlighting any changes
  • Constantly update the production delivery schedule
  • Put together monthly, seasonal and annual vendor performance reports using delivery schedule data
  • Engage with the Garment Tech team weekly to track and understand the fit-related issues that impact the critical path and help resolve where and when needed
  • Ensure we have a product approval date supplied by the supply partners, and that our Garment tech teams are aware of this and follow accordingly
  • Liaise with suppliers to ensure that orders have been pre-booked and handed over on time to the freight forwarder on the agreed shipped date with documentation.
  • Check with the DC if stock has been received as planned and further investigate if not, and supply weekly reports on actual intake versus forecasted intake, and supply a ‘cause & action’ update
  • Liaise closely with Buying, Merchandising and Wholesale teams to ensure that all orders are placed and that reorders are placed promptly and loaded onto One World and key dates added to the delivery schedule under the guidance of the Production Manager
  • Liaise with all departments to ensure that the vendor has all the information they require to manufacture & ship the orders, e.g. Supplier Manual and Vendor Checklist
  • Work with the Production Admin Assistant to ensure that collection samples, VM, creative, press and web are received from suppliers and given to the relevant department within critical path guidelines and report accordingly
  • Weekly Master DS Report to be created weekly and updated with accurate intake for Production Director
  • Prepare updates for weekly production meetings
  • Develop and maintain strong relationships with supplier partners
  • Supporting Production Manager with special projects and launches e.g. Nordstrom Anniversary
  • Training and mentoring of Production Admin Assistant
  • General administrative function to keep the department organized and to share information
WHAT WE’RE LOOKING FOR (SKILLS & QUALIFICATIONS)
  • Previous proven experience within a production & supply chain is preferable with basic knowledge of product manufacturing and understanding of a critical path (calendar & timeline management)
  • Highly competent user of Excel (V-Look Up and Pivot tables), Word/Pages, Powerpoint/Keynote, Outlook & Google suite
  • Able to communicate effectively with good listening skills
  • Proactive and independent thinking ability with demonstrated desire to learn and grow
  • Strong ability to prioritise and adhere to deadlines
  • Ability to work well under pressure
