Job summary

AllSaints is seeking an Assistant Production Coordinator to oversee the product critical path on a day-to-day basis from our East London Studios. You will track tasks, deliverables and issues through to completion while supporting design’s vision and ensuring on-time delivery for DTC channels and wholesale partners.

Based in Shoreditch, you will collaborate with Buying, Merchandising, Technical and Design teams, coordinate sample flow, manage supplier relationships and keep critical path

Qualifications

  • Previous proven experience within a production & supply chain is preferable with basic knowledge of product manufacturing and understanding of a critical path (calendar & timeline management)
  • Competent user of Excel (V-Look Up and Pivot tables), Word/Pages, Powerpoint/Keynote, Outlook & Google Suite
  • Able to communicate effectively with good listening skills
  • Proactive and independent thinking ability with demonstrated desire to learn and grow
  • Strong ability to prioritise and adhere to deadlines
  • Ability to work well under pressure

Responsibilities

  • Along with Production Coordinator you will support the sample process and update sample tracker on Google sheets and Excel
  • Work with the Production Coordinator to ensure that collection, creative, press and web samples are received from suppliers and given to the relevant department within critical path guidelines
  • Constant dialogue with vendors ensuring clarity on our expectations and deadlines
  • Issue weekly reports for on time and late styles
  • Check barcodes and swing ticket prices to ensure accuracy.
  • Help vendors order barcodes and swing tickets when required and resolve any potential issues.
  • Along with Production Coordinator maintain ex-factory dates on One World and ensure delivery schedule is updated and constantly accurate
  • Liaise closely with Buying & Merchandising teams to ensure that all reorders are placed promptly and loaded onto One World and key dates added to the delivery schedule
  • Work with the Technical and Design teams to ensure everyone is aware of changes to designs or any product issues during the manufacturing process.
  • Ensure weekly delivery schedules are updated by suppliers and support meals held with relevant departments to discuss changes and possible solutions
  • Ownership of a particular supplier or category will be owned by the Assistant Production Coordinator, this will be discussed and confirmed with the Production Coordinator
  • For this area you will hold supplier meetings to develop and maintain strong relationships with the supplier partner. This includes negotiating discounts for late deliveries and chasing credit notes where applicable
  • Regular presentations with the department including Trade, supplier performances and any other areas of interest.
  • Engage with the Garment Tech team weekly to track and understand the fit-related issues that impact the critical path and support the Production Coordinator where and when needed
  • For any suppliers/ categories you manage you will be required to follow up on any orders which have not been handed over on time to the freight forwarder on the agreed shipped date and documentation.
  • Check with the Distribution Centre if stock has been received as planned
  • Training and supporting new assistants joining our department providing them admin training including POs raising/amendment and sample tracking.
  • Support with ad-hoc reporting and projects as and when required.
  • General administrative function to keep the department organised and to share information

The role

The position of Assistant Production Coordinator is responsible for overseeing and managing the product critical path on a day-to-day basis. You’ll be responsible for tracking tasks, deliverables and issues through to completion and resolution.

This position interfaces with multiple internal functions as well as directly with suppliers, with the clear directive of achieving the highest quality, efficiency and optimized product throughput cost while supporting Design’s product vision and the need to take in product on time for DTC channels and our wholesale partners.

About the team

Based at our East London Studios, this role reports to one of our Production Coordinators.

What you’ll be doing (key responsibilities)
