Job summary

The Keystone Group is seeking a Production Administrator to support the Production Director and Managers. The role focuses on accurate data handling, reporting, and tidy production documentation within a busy production office.

Applicants should be highly organized, proactive, and adept at using Microsoft Office, especially Excel and Word, with excellent attention to detail and the ability to manage multiple tasks in a fast-paced environment.

Job description

The Production Administrator will provide effective administrative and coordination support to the Production Director and Production Managers, helping to ensure the production office operates efficiently and that accurate information is maintained and communicated across the production team.

The role will suit an organised and proactive administrator who is confident using Microsoft Office, particularly Excel and Word, and has excellent attention to detail. The successful candidate will be comfortable working in a busy production environment, managing multiple priorities and ensuring administrative tasks are completed accurately and on time.

Working pattern:

Full-time, 5 days per week, based within the Production department, including one Saturday per month to support the monthly stock count.

What You’ll Be Doing
  • Provide day-to-day administrative support to the Production Director and Production Managers.
  • Prepare and update production reports, schedules, trackers and other relevant information.
  • Ensure production paperwork and documentation is completed accurately and maintained appropriately.
  • Assist Production Managers with administrative tasks and follow-up actions.
  • Monitor outstanding actions and provide reminders where required.
  • Maintain organised electronic and paper filing systems.
Data & Reporting
  • Maintain and update Excel spreadsheets and production trackers.
  • Input production data accurately and ensure information is kept up to date.
  • Produce regular reports and summaries for the Production Director and Production Managers.
  • Identify missing or inconsistent information and follow up with relevant colleagues.
  • Maintain confidentiality and accuracy when handling business and employee information.
Communication & Coordination
  • Act as an administrative point of contact for the Production team.
  • Liaise with Production Managers, supervisors and other departments to obtain and share information.
  • Ensure relevant information is communicated promptly and accurately.
  • Build positive working relationships with colleagues across the production environment.
General Administration
  • Manage emails, correspondence and documentation as required.
  • Assist with producing documents, letters, presentations and reports using Microsoft Office.
  • Support departmental projects and initiatives as required.
  • Take responsibility for completing tasks within agreed deadlines.
  • Carry out any other reasonable administrative duties to support the Production function.

What You’ll Need to Succeed

You’ll be an organised, proactive and detail-focused administrator who takes pride in getting things right and keeping information accurate and up to date. You’ll be confident managing multiple tasks and deadlines in a busy production environment, with the ability to communicate effectively with colleagues at all levels. You’ll take ownership of your workload, follow through on actions and be comfortable using data and Microsoft Office to support the Production team.

What We’re Looking For
Essential
  • Good working knowledge of Microsoft Excel and Microsoft Word.
