We are seeking a detail-oriented and organized Procurement Administrator to join our procurement team. This role supports the procurement function by managing purchase orders, tracking inventory levels, and ensuring efficient and cost-effective acquisition of goods and services. The Procurement Administrator will collaborate with suppliers, internal stakeholders, and team members to maintain a smooth procurement process.

Key Responsibilities:
  1. Purchase Order Management: Process and track purchase orders (POs) for goods and services. Ensure timely delivery and follow up on order status as needed.
  2. Vendor Management: Assist in maintaining relationships with suppliers and vendors, including negotiating terms and evaluating performance.
  3. Inventory Tracking: Monitor inventory levels and reorder materials as needed to ensure the availability of products for daily operations.
  4. Documentation and Reporting: Maintain accurate records of procurement activities, including purchase orders, contracts, and delivery schedules. Generate reports as required.
  5. Compliance: Ensure compliance with company policies, procedures, and relevant regulations in all procurement processes.
  6. Invoice Management: Work closely with the finance team to match invoices with purchase orders and resolve discrepancies in a timely manner.
  7. Data Entry and System Maintenance: Accurately input procurement data into internal systems, ensuring all information is up-to-date and accessible.
  8. Market Research: Assist in researching potential suppliers, gathering quotes, and evaluating product quality and prices.
  9. Team Support: Provide administrative support to the procurement team, including scheduling meetings, preparing documentation, and other ad hoc tasks.
Requirements:
  • Experience: 1-2 years in procurement, purchasing, or administration.
  • Skills:
  • Strong organizational and time-management skills.
  • Excellent attention to detail and ability to manage multiple tasks.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Experience with procurement software or ERP systems is a plus.
  • Knowledge:
  • Basic understanding of procurement processes and supply chain management.
  • Familiarity with inventory management practices.
  • Knowledge of vendor negotiation and contract management is advantageous.
