Job summary

North Cheshire and Mersey NHS Foundation Trust is seeking an Administration Assistant for the Halton Podiatry service. You will be the first point of contact for patients, carers and health professionals, handling enquiries and booking clinic appointments.

In this role you will manage appointment scheduling, retrieve and update patient notes in EMIS, and maintain confidential records with accuracy. You will work with a small team, coordinating priorities and ensuring deadlines are met.

Qualifications

  • Good general education and basic numeracy/literacy
  • RSA1 or equivalent in typing/word; NVQ level 2; ECDL
  • Knowledge of medical terminology and keyboard skills
  • Ability to use own initiative and work under direction
  • Microsoft Windows skills and accuracy in data handling
  • Excellent interpersonal and communication skills
  • Able to work as part of a team and maintain confidentiality
  • Willingness to work flexibly and lifelong learning mindset
  • Travel across the Trust as needed

Responsibilities

  • Provide administration for clinics and be first point of contact for enquiries
  • Book in patients, make follow-up and reschedule appointments
  • Assist in information collection as requested
  • Take messages and relay to podiatrists
  • Register referrals to waiting lists and maintain filing systems
  • Communicate effectively with patients and carers
  • Prepare patient case notes and keep them up to date
  • Manage day-to-day workload and meet deadlines
  • Attend staff meetings and participate in policy development

Job description

An exciting opportunity has arisen to join the busy Community Podiatry administration Team in Halton. As part of a small dedicated team you will be the first point of contact for enquiries from patients, carers and Health professionals regarding general enquiries and booking appointments. You will need to be able to work alone and as part of a Team and use your own initiative to ensure deadlines are met. To utilise good communication skills. To be the first point of contact for the Halton Podiatry service and use own experience and initiative to deal efficiently and effectively with enquiries from patients, carers and a variety of Health Care Professionals. To book patients appointments for various clinics, make follow up appointments and if required, to reschedule appointments. Ability to use EMIS patient record and appointment booking system. Maintain effective administrative systems. To provide administrative and clerical support to the Halton podiatry service. Provide telephone duties for Podiatry clinics and bookings. To use own initiative to maintain the day-to-day smooth running of the office and to be responsible for organising and prioritising own workload to ensure deadlines are met.

Duties and Responsibilities
  • To provide administration functions for clinics and be the first point of contact for all enquires regarding the service, deal with general enquires from patients, carers and other health professionals and to be fully conversant with the computerised system.
  • To book in patients attending clinics, make follow-up appointments, reschedule appointments.
  • To assist in information collecting as requested by registered staff.
  • To take messages and relay accurately to podiatrists.
  • Register referrals to designated waiting lists.
  • To be responsible for establishing and maintaining effective administrative systems including filing.
  • To be able to communicate effectively in a variety of ways with patients and carers to ensure smooth delivery of services.
  • To prepare patient case notes in line with local policies and ensure case notes are kept up to date.
  • To make appointments for patients and deal with cancellations as per local protocols.
  • Exercise good personal time management, punctuality and reliable attendance.
  • To attend regular meetings as required e.g. staff meetings.
  • To undertake any other duties that might be considered appropriate by the team leader.
  • Adhere to all Trust policies and procedures.
  • Expect to contribute to policy and service development within own role.
  • Maintain staff and patient confidentiality and adhere to the Data Protection Act at all times.
  • Comply with PDP including KSF and appraisal system.
