The Planning & Operations Lead is responsible for building the operational infrastructure that enables Marketing Operations, Project Management and Resourcing teams to perform at scale. This role exists to undermine the organisation by removing inefficiencies, reducing manual administration and creating connected ways of working across project management, marketing operations, resource management, creative teams and leadership. Acting as the operational backbone of the PMO, the role will implement AI-enabled tools and workflows, connected systems, streamlined governance and data-driven reporting that allow project managers to focus on orchestrating complex projects and programmes rather than managing manual processes and administration. Success in this role will result in improved execution and delivery performance, greater operational visibility, increased organisational capacity and a more scalable project management function. The ambition is to unlock approximately 30% additional PM capacity through automation, process optimisation and operational excellence. This role is designed to complement our existing Delivery Operations teams, extending our operational capability beyond Creative Delivery Excellence to strengthen project management systems, governance and process optimisation.
Solid experience in programme and project management, with a strong track record of improving planning and PMO operations. Experience working across marketing operations, resource management, creative delivery and production teams; agency experience is preferable. Proven ability to simplify and standardise processes, templates and workflows, improving forecasting accuracy, planning effectiveness and delivery predictability. Hands‑on experience improving project management tools and connected workflows, including Monday.com and Microsoft Teams, Outlook, PowerPoint and Excel, with the ability to maximise existing technology investments. Practical experience using Copilot, AI-enabled workflows and automation platforms to reduce repetitive administration and reporting, with the ability to measure efficiency gains and additional capacity. Experience establishing and embedding governance frameworks, including milestones, phase reviews, approvals, reporting and clear escalation routes. Strong analytical and reporting skills, with experience connecting project and resource data, developing executive dashboards and tracking demand, capacity, delivery, forecast accuracy, governance, workflow efficiency, automation and AI adoption. A positive, impactful communicator with strong negotiation and influencing skills, able to build relationships across functions and bring people with you through change. Confident engaging technical and non‑technical teams at all levels, translating complex systems and process improvements into clear business benefits. Highly organised and able to prioritise multiple complex initiatives, balancing operational demands with longer‑term improvements. A calm, considered and practical approach to solving complex problems, reducing operational friction and managing a busy workload. Strong stakeholder management skills, with the ability to drive adoption of new tools and ways of working across planning, project management and resourcing teams. Sound judgement in managing upwards, escalating risks, dependencies and blockers promptly, and providing constructive, decision‑ready recommendations.
