Personal Assistant/Divisional Administrator - Part Time

Division – Corporate Governance

Salary - National (Edinburgh and Leeds) ranging from £28,800 to £43,100 and London £31,600 to £47,400 per annum – pro rata for 3 days per week (salary offered will be based on skills and experience)

Corporate Governance Division comprises the following functions:

  • Central Secretariat (including ownership of the Conflict of Interests Policies and the FCA’s Senior Manager Regime (SMR))

  • Consumer Panel and CBA Panel Secretariat

  • Decision-Making Committees Secretariat (DMCS)

  • Practitioner Panels Secretariat

An opportunity has arisen for a Personal Assistant/Divisional Administrator to join the Corporate Governance Division. This is a part-time (0.6 FTE/21 hours) job share (Monday-Wednesday).

You will work alongside another PA/Divisional Administrator to provide support to the Director (who is also the FCA Company Secretary and Ethics Officer) and the Divisional Leadership Team (DLT) to deliver the Corporate Governance Mission. This is an exceptional opportunity for career development, with exposure to senior management of the FCA and the PSR on high-profile matters.

Our stakeholders include the FCA Chief Executive and Chair, executive directors, FCA and PSR staff, Boards and committees and the independent panels.

You will support them by, facilitating efficient and effective governance, managing relationships with the wider FCA and PSR teams, undertaking analysis & providing technical advice and ensuring that decisions and inputs are recorded and considered or acted upon.

What will you be doing?

Directors PA

  • Act as a professional point of contact and link for the Director, which includes liaising with senior management, external stakeholders and their offices

  • Coordinate the Director’s schedule to ensure seamless management of commitments and proper prioritisation. This includes arranging travel plans, briefing materials, essential documents, meeting rooms and keeping the Director’s daily OneNote pack updated

  • Oversee inbox management by monitoring emails, flagging and executing actions promptly and ensuring corporate records are accurately stored

  • D raft and send replies as needed on behalf of the Director while proactively identifying and addressing tasks

  • Manage and assist in resolving both internal and external ad hoc issues or inquiries on behalf of the Director. This includes overseeing requests for the Director’s availability to review documents and ensuring sufficient time for review

Divisional Administrator

  • Organise weekly DLT meeting agendas by anticipating upcoming topics, coordinating with presenters and distribution relevant documents to the DLT in advance

  • Attend meetings to document and track decisions and assigned actions, ensuring proper follow-up. Additionally, provide administrative support to the DLT as required

  • Support divisional recruitment, on-boarding and induction (including the onboarding of Non-Executive Directors)

  • Provide guidance to the divisional Senior Professional Support team ensuring they are updated with the latest relevant information so that they can comply with local and FCA wide processes and procedures

Minimum

  • Proven experience in delivering high-quality administrative support to a Director/senior leader, including mailbox and diary management

  • Direct experience of working confidently and effectively with a wide range of senior internal and external stakeholders

  • Experience of working with Microsoft Office applications

Essential

  • A proactive approach to supporting a senior leader, demonstrating the ability to foresee potential challenges and efficiently implement solutions

  • Demonstrate ability and confidence in exercising sound judgement to make timely decisions on the Director’s behalf, informed by the relevant information

  • Flexibility to adapt and react to changing circumstances, reprioritising as necessary and a willingness to take on new tasks and responsibilities

  • Ability to maintain security, trust and confidentiality of information

  • Excellent organisational skills, including the ability to plan carefully, prioritise effectively, track issues methodically and recognise when escalation is required

  • Excellent communication skills, which can be adapted to meet the needs of your audience

  • A flexible and collaborative team player with the ability to work on your own initiative, be proactive and influence others
