My client, a leading public sector organisation based in Belfast, is looking for a Full-Time Personal Assistant / Administrative Assistant.

  • 6 months (initially with extension possible)
  • Full Time, Monday-Friday, 9am-5pm (hrs)
Main Duties / Responsibilities

For each of the following, the post holder will:

  • Provide a secretarial and administrative service to the Head of Regional Medical Physics and Service Manager for the Regional Medical Physics Service team. Undertake a range of administrative support duties including receiving, processing, and distributing mail, personally dealing with routine items, and providing typing and admin support.
  • Maintain an efficient and effective diary management system for all senior management teams, including preparation of all pre-meeting documentation in a timely and accurate manner.
  • Support management meetings and events by preparing agendas, taking minutes, and compiling action plans as required.
  • Develop and maintain both electronic and hard copy filing systems, including Bring Forward (BF) processes.
  • Travel to venues throughout the Trust and participate in online meetings via MS Teams.
  • Act as a point of contact for communication between staff and external agencies to ensure a full and efficient service.
  • Make and receive telephone calls and take appropriate actions.
Qualifications and Experience

RSA/OCR Stage II Text Processing Part I and Part II (Word Processing/Typewriting) or equivalent.

Four GCSEs Grade C or above (including English Language) or equivalent, and one year secretarial/administrative experience.

OR

NVQ Level 2 in Administration and 1 year secretarial/administrative experience.

OR

2 years' secretarial experience with minute taking.
