Job summary

Capital One (Europe) plc is seeking a proactive Personal Assistant to support our leadership team in a hybrid London setting. The role blends in‑office collaboration with remote work, acting as a gatekeeper and trusted trusted partner to executives.

You will manage calendars across time zones, coordinate travel and expenses, organize meetings and events, and maintain strong communication on behalf of the leadership group. This role demands discretion, integrity and teamwork.

Qualifications

  • Extensive experience as an Executive Assistant or Administrative Assistant in a fast-paced environment.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Experience using AI tools such as Gemini, CoPilot or Claude.
  • Proficient in video conferencing technology (Zoom, Teams and similar).

Responsibilities

  • Proactively manage complex, global executive calendars across multiple time zones.
  • Coordinate travel arrangements and prepare timely expense reports.
  • Plan and reserve meetings, events, and related services.
  • Serve as central point of contact and ambassador for the leadership team.
  • Manage team distributions lists, org charts, calendars, and onboarding.
  • Support office operations including desk allocation and mailing tasks.

Job Title: Personal Assistant

Location: Hammersmith, London - Hybrid

Working Pattern: 2 days in-office and 3 days remote.

About the role

We are seeking a detail‑oriented, innovative, and confident Personal Assistant to partner with our leadership team. This highly visible, collaborative and pivotal role acts as a gatekeeper and extension of our leadership team, ensuring the success of a well‑run, efficient organization.

As the central point of contact, you will partner closely with other administrative assistants, team members and the Chief of Staff team. The ability to adapt to changing priorities, take on new and unfamiliar tasks, and work collaboratively with others is critical to the role.

The ideal candidate will exercise sound judgement, maintain strong attention to detail, and act with a proactive mindset, while bringing the highest level of integrity, trust, and confidentiality to the role to reinforce Capital One’s corporate culture of excellence.

What you’ll do
Strategic Calendar Management
  • Proactively manage complex, global executive calendars across multiple time zones, prioritizing scheduling requests and adjusting to frequent last‑minute changes with ease.
Travel & Expense Coordination
  • Handle complex domestic and international travel arrangements and create timely expense reports using Capital One systems.
Meeting & Event Planning
  • Arrange and reserve conference rooms, catering, audio/video, and other essential services for team events, all‑hands meetings, and stakeholder forums.
  • Drive key team planning for activities and events.
Communication & Ambassadorship
  • Serve as a central point of contact, circulating information, and acting as a team ambassador to foster strong relationships.
  • Partner with the Communications team to assist with planning for internal and external speaking engagements.
Team Administration
  • Manage and own team distribution lists, organizational charts, shared calendars and support onboarding of new team members.
General Office Support
  • Supporting the office manager as needed with managing desk allocation, mail distribution, printing, and ad‑hoc projects.
What we’re looking for
  • Extensive experience as an Executive Assistant or Administrative Assistant in a fast‑paced environment.
  • Experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and Google Workspace (G‑Suite).
  • Experience utilizing AI tools such as Gemini, CoPilot, or Claude.
  • Proficiency in video conferencing technology (Zoom, Teams, etc.).
  • Exceptional written and verbal communications, organizational, and time management skills.
Where and how you’ll work

This is a permanent position based in our Hammersmith, London office. We embrace a hybrid approach to work. You’ll spend two days a week in the office.
