HR Associate Diploma in People Management (CIPD Level 5) at Burton and South Derbyshire College

Role Purpose:

As People Assistant, you’ll be the first point of contact for day-to-day People-related queries, providing support to colleagues and helping keep everything running smoothly behind the scenes. From onboarding new starters to updating records in IRIS HR, you'll play a key role in delivering a great colleagues experience.

You’ll work closely with the wider People Team to support the colleague lifecycle and help us improve our processes.

Key Responsibilities:

People Administration & Support

  • Respond to routine People-related queries from colleagues and managers, escalating where necessary.
  • Maintain accurate colleague records in IRIS HR, including starters, leavers, changes, and absences.
  • Assist with payroll administration.
  • Prepare and issue documentation such as offer letters, contracts, change letters, reference requests, and leaver confirmations.
  • Update People Team trackers, shared inboxes, and filing systems in line with GDPR.
  • Manage family leave processes.
  • Assist with benefits and reward administration.

Onboarding and Offboarding

  • Coordinate pre-employment checks and onboarding to ensure a smooth experience for new starters.
  • Schedule induction sessions and liaise with relevant departments for system and access setup.
  • Handle offboarding processes, including exit interviews and access removal.

Recruitment Support

  • Post job adverts internally and externally.
  • Coordinate interview scheduling, candidate communications, and feedback.
  • Conduct screening calls with candidates.
  • Support hiring managers with recruitment administration.

Learning and Development

  • Support training session scheduling and coordination.
  • Maintain records of learning activities.
  • Keep Learning Management System records up to date.

Systems and Reporting

  • Ensure IRIS HR is updated accurately and promptly.
  • Generate reports on headcount, absence, and compliance data.
  • Support data audits and effective system use.

Projects and Process Support

  • Contribute to People Team initiatives and improvement projects.
  • Review and maintain policies, templates, and procedures.
