Job description

Role Purpose:

As People Assistant, you’ll be the first point of contact for day-to-day People-related queries, providing support to colleagues and helping keep everything running smoothly behind the scenes. From onboarding new starters to updating records in IRIS HR, you'll play a key role in delivering a great colleagues experience. You’ll work closely with the wider People Team to support across the colleague lifecycle and help us improve our ways of working. This could be a great opportunity for someone starting their career in People/HR.

Key Responsibilities:

General People Administration & support

  • Respond to routine People-related queries from colleagues and managers, escalating when needed.
  • Maintain accurate colleague records in IRIS HR, including starters, leavers, and personal details.
  • Assist with payroll administration.
  • Prepare and issue documentation such as offer letters, contracts, change letters, references, and leaver confirmations.
  • Update People Team trackers, shared inboxes, and filing systems in line with GDPR.
  • Manage family leave processes.
  • Support benefits and reward administration.

Onboarding and Offboarding

  • Coordinate pre-employment checks and onboarding, ensuring a smooth experience for new starters.
  • Schedule induction sessions and liaise with relevant departments for system access.
  • Administer offboarding, including exit interviews and access removal.

Recruitment Support

  • Post job adverts internally and externally.
  • Coordinate interview schedules, candidate communications, and feedback.
  • Conduct screening calls with candidates.
  • Support hiring managers with recruitment admin and documentation.

Learning and Development

  • Assist with scheduling and coordinating training sessions.
  • Maintain records of learning activities.
  • Update Learning Management System records.

Systems and Reporting

  • Ensure IRIS HR is kept up to date.
  • Generate reports on headcount, absence, and compliance data.
  • Support data audits and system usage optimization.

Project and Process Support

  • Contribute to People Team initiatives and improvement projects.
  • Assist with reviewing policies, templates, and procedures.

  • Ability to work at a fast pace and prioritize tasks.
  • Excellent customer service attitude.
  • Discretion and professionalism with sensitive info.
  • Strong IT skills, especially MS Office.
  • Previous admin or HR experience is helpful but attitude and potential are valued.
