About the Role

We’re looking for a Payroll Supervisor who will play a pivotal role in ensuring our people are paid accurately and on time, every time. You’ll be hands-on in overseeing day-to-day payroll operations, supporting multi-country payroll processing, and acting as a trusted point of contact for payroll queries.

Working closely with our payroll providers (Moorepay in the UK, Gusto in the US) and using BambooHR as our HRIS, you’ll ensure smooth, compliant, and efficient payroll cycles across the business. Reporting into the Director, People Operations, you’ll help deliver a seamless payroll experience while supporting our ambitious growth plans.

What you'll do

Payroll Operations:

  • Accurately process monthly payrolls across multiple entities, currently in the UK and US, in partnership with external payroll providers (Moorepay and Gusto).
  • Maintain and update employee records in our HRIS (BambooHR) to ensure payroll data is always accurate and up to date.
  • Review payroll reports, perform reconciliations, and ensure payments are processed on time.
  • Support the implementation and improvement of payroll-related workflows and automation through the HRIS.


Employee Benefits Strategy:

  • Act as the primary point of contact for all employee payroll and payroll benefits queries, delivering a world-class employee experience.


Compliance & Best Practices:

  • Ensure all payroll activities comply with relevant tax laws, pension rules, and statutory requirements in each jurisdiction.
  • Prepare documentation and reports for audits, ensuring accuracy and integrity of payroll data.
  • Keep up-to-date with payroll legislation in the UK and US to ensure continued compliance.
  • Work closely with the Senior Payroll & Benefits Manager to support payroll projects and reporting requirements.
  • Assist with payroll reporting to Finance and Leadership, including monthly payroll summaries and ad-hoc reports.

What you'll bring to HeliosX

  • Experienced Payroll Professional: You bring 4+ years’ experience managing end-to-end payroll processes, ideally across the UK and US, and are confident using payroll systems and liaising with external providers.
  • Detail-Oriented: You pride yourself on accuracy and attention to detail, with a track record of delivering error-free payrolls in high-growth or fast-paced environments.
  • System-Savvy: You’re confident working with HRIS platforms (especially BambooHR or similar) and enjoy finding ways to make processes more efficient.
  • People-Focused: You provide outstanding support to employees, with clear communication and a helpful, approachable style.
  • Compliance-Driven: You understand the importance of getting payroll right and stay informed on the latest payroll legislation and best practices.
  • Collaborative Team Player:You work well with others, communicate clearly, and know how to prioritise workload in a dynamic environment.
