Part Time Operations – Finance & Commercial
This is a stand-alone role focused on all aspects of payroll operation and administration related to the company, including balancing all payroll accounts. The role is responsible for Imagination UK’s full-time payroll, which has approximately 200 employees, and will lead the relationship with our payroll provider Payfit. The workload is expected to be manageable in 4-5 half days across Monday-Friday.
Key Responsibilities
- Manage the entire monthly payroll process, including BACs payments and HMRC submissions, using Payfit and HSBCNet.
- Review and action all payroll changes within Payfit, such as joiners, leavers, salary or benefit adjustments, in coordination with P&C and finance teams.
- Generate salary variation reports and obtain dual payroll approval from P&C and finance.
- Reconcile and maintain the Group pension scheme, including auto-enrolment, supplier portal uploads, and record keeping.
- Create monthly payroll journals in Payfit and process through the accounting system (Deltek Maconomy).
- Reconcile payroll-related balance sheet accounts, liaising with benefit suppliers as needed.
- Calculate and process intercompany payroll recharges and journal entries.
- Assist in financial management of P&C budgets and related accounting tasks.
- Coordinate with P&C to ensure payroll inductions for employees, discussing pension and benefit options.
- Communicate payroll updates to employees via HiBob and handle payroll-related queries.
- Process payments for incidental payroll or confidential invoices and handle payroll taxes monthly and annually.
- Ensure compliance with year-end reporting such as P60s, P11Ds, and P35.
- Serve as the primary contact for Payfit.
- Maintain payroll documentation, prepare deliverables, and liaise with auditors during audits.
- Manage HMRC payroll taxes accounts.
- Stay updated on payroll and tax legislation changes and implement necessary updates in collaboration with P&C and Finance.
- Handle ad hoc payroll and employment tax tasks as needed.
- Ensure compliance with company policies such as GDPR, ISO, and Information Security training.
Skills, Knowledge & Expertise
- Extensive knowledge of payroll legislation, taxes, and PAYE procedures.
- CIPP qualification is advantageous but not essential.
- Experience with end-to-end payroll processes and systems like Payfit and HiBob is beneficial.
- Experience in HR, accounting, or bookkeeping is valuable.
- Knowledge of pension administration and auto-enrolment.
- Proficiency in Microsoft Office and Google Suite, especially Excel and Sheets, with data analysis skills.
- Strong organizational, time management, and communication skills.
- Self-motivated, proactive, and capable of working independently and in teams.
