Responsibilities

  • Typing/Letter Administration: ensure patient letters from outpatient clinics are professional and within turnaround targets.
  • Administration: coordinate paperwork and communication between staff, book clinic appointments, scan patient records, answer phones, and send documents to GPs and external organisations.

Job overview

This is an exciting opportunity join the clerical support team who provide a high quality and professional administration service for the Cardiology Department. Promoting a polite, empathic and efficient Service to Trust staff, members of the public and their relatives, GPs and other NHS organisations, both face to face and via the telephone.

Main duties of the job

Typing/Letter AdministrationTo ensure the patient letters generated from outpatient clinics are completed to a professional standard and within Trust turnaround targets. Ensure that the output is professional and that the correspondence is directed to the appropriate teams for action.

Administration
Maintain coordination of paperwork and communication between staff at all levels to include booking of clinic appointments and patient admission documentation. To scan Patient Records onto Trust EPR, answer phones to support with patient enquiries, and send relevant documentation to GPs, patients and external organisations in order to progress patient care.

Education & Qualifications
  • Good general education with GCSE or equivalent in English at grade C or above
  • NVQ level 2 or equivalent practical experience
Experience
  • Previous experience in an administrative role
  • Experience in customer care
  • Experience of working with senior staff and managing confidential issues and matters
  • Previous experience in a medical / healthcare setting
  • Previous experience of working in the NHS
  • Previous experience of working with Dictate IT
Skills & Knowledge
  • Demonstrates commitment to a professional and high level service and a professional attitude to own work
  • Able to act with minimal guidance to set targets and standards for self within the parameters of the role
  • Good organisation
  • Excellent telephone manner
  • Good level of IT skills including Microsoft Word, Outlook and Excel
  • Able to manage and prioritise all incoming and outgoing correspondence, initiating responses where appropriate
  • Able to apply creative solutions to problems
  • Knowledge of medical terminology
  • Working Knowledge of Cerner
