Job description

We have a superb opportunity for an experienced part-time Bookkeeper. Approximately 30 flexible hours per week, mostly working from home with occasional travel to our clients’ premises in Theale, Reading.

Our client is privately owned and operates exclusively by recommendation; they do not advertise or employ salespeople. They provide bespoke Fire & Security solutions at the high end of the UK market. With a client base mainly consisting of high-net-worth individuals, they ensure the highest standards and utilize the latest technologies to guarantee their clients' security and peace of mind. This company handles security solutions for some of the wealthiest families and individuals worldwide.

About the role

The main duties as Bookkeeper include:

  • Checking bank accounts regularly and allocating credits received
  • Answering emails
  • Invoicing as required
  • Cancelling monitoring connections as necessary
  • Chasing debtors, with two main chaser days and ongoing follow-up
  • Managing reminders on Outlook
  • Downloading parking receipts and entering data into Sage
  • Verifying and paying expenses for the office and engineers
  • Matching supplier invoices to stock POs and entering them into Sage
  • Keeping track of returned items and ensuring credits are received
  • Recording resets in Sage from Scutum reports
  • Updating spreadsheets for lost and gained assets
  • Maintaining parking apps and congestion accounts
  • Updating van records (driver/mileage)
  • Booking vans for service, MOT, or repairs, and advising insurers of van changes
  • Maintaining the lottery account spreadsheet
  • Downloading daily tracker reports and noting private miles
  • Sending batch invoices
  • Attending meetings with company directors

Monthly responsibilities

  • Running renewal invoices after checking client site lists and POs
  • Checking Sage for resets and invoicing accordingly
  • Reconciling four bank statements with Sage
  • Reconciling and paying credit card statements
  • Completing financial reports and cash flow statements
  • Advising on and inputting payroll figures and paying employees
  • Downloading the monthly tracker report
  • Attending financial meetings

Additional duties

  • Paying suppliers twice monthly and sending remittance advices
  • Handling quarterly VAT submissions and reconciliations for three companies
  • Attending board meetings
  • Paying taxes biannually to HMRC

Annual tasks

  • Agreeing on annual fees with the director
  • Submitting confirmation statements to Companies House
  • Calculating lottery winnings to be paid
  • Completing year-end procedures for three companies
  • Paying corporation tax
  • Producing budget and cash flow forecasts for the upcoming year
  • Estimating insurance costs for quotes and reports
  • Completing and submitting the year-end declaration
  • Getting quotes for fleet management and electricity contracts for directors’ approval

About you

To succeed as a Bookkeeper, you should have:

  • Excellent communication and interpersonal skills
  • Experience with Sage Line 50
