This is a part-time Personal Assistant role, contracted for 16 hours per week on a 12-month maternity cover basis.
Key Responsibilities
- Organising meetings for the team.
- Booking meeting rooms as required.
- Making reservations for lunch / dinner as required.
- Booking flights / hotels for the team as required.
- Organising twice yearly poker evening.
- Submitting expense claims for the team on both CBRE system and GFI system.
- Sending any new client names to be updated on the system.
- Updating Capital Advisors calendar each week.
- Archiving emails in line with retention policy.
- Ensuring payment of third party invoices.
- Adding ED signature to documents when required.
- Liaising with client to confirm trade details.
- Ensuring any new billing entities are raised on AML and liaising with client for any required details.
- Tracking any AML cases that they are progressing.
- Liaising with PropertyMatch team for any updates required.
- Raising any new projects.
- Sending out all invoices to clients.
- Liaising with billing team with any queries / updates required.
- Chasing any aged debts and reporting to Credit Controller.
- Updating customer sheet with new clients to bill.
- Updating internal billing sheet with updates.
- Providing relevant details for yearly compliance audit.
Person Specification/Requirements
- Advanced IT skills (PowerPoint, Word, MS Outlook, Excel)
- Good communication skills, both verbally and in writing
- Team player who effectively works with colleagues and clients of varying seniority
- Accurate and exceptional attention to detail
- Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
- Maintain a positive and flexible attitude towards all tasks
- Proactive: Takes initiative and anticipates the needs of the executives
- Adaptable: Able to handle a fast-paced and dynamic work environment
- Reliable: Dependable and trustworthy with a strong work ethic
