Summary of Key Purposes and Responsibilities: Primary Purpose:
  • Provide high-level personal assistance to the Group Director, including confidential administrative support, diary management, and communication handling.
  • Offer efficient general administrative support to the Capital Projects Team, ensuring adherence to college systems and quality standards.
Main Responsibilities: General College Responsibilities:
  • Uphold the college's mission, values, and equality policies.
  • Engage in professional development and continuous improvement activities.
  • Support health and safety practices.
  • Contribute flexibly across the college, especially during workload peaks or across sites.
Specific P.A. & Administrative Duties:
  • Handle the Group Director s schedule, meetings, minutes, and correspondence.
  • Use Microsoft Office (Word, Excel, Outlook, etc.) for administrative tasks.
  • Maintain confidential records, filing systems, and data accuracy.
  • Serve as a point of contact for internal/external stakeholders.
  • Coordinate events and ensure timely communication flow within teams.
General Admin & Data Responsibilities:
  • Create and manage databases, including contract and financial data.
  • Support partnership and apprenticeship administration.
  • Liaise with funding bodies and employers to gather accurate project information.
  • Produce reports, presentations, and standard documents.
Person Specification (Key Skills & Qualities):
  • Technical skills: Proficient in MS Office; willing to learn tools like Equation Editor.
  • Organizational ability: Prioritize tasks, manage time effectively, and keep accurate records.
  • Communication: Clear, professional communication skills in writing and speech.
  • Teamwork: Collaborate effectively and support broader team objectives.
