£30,313 to £34,612 per annum

The Opportunity:

We have an exciting opportunity for an Executive Support Officer to join our Executive Support Team, who are responsible for providing a range of professional support services to our Management Board and the Leader of the Council.

This is a fixed term post to provide additional support as we work on a number of projects including our transformation programme, devolution and Local Government Review.

Key responsibilities will include providing administrative support to Management Board and the Leader of the Council. Day-to-day duties will cover managing correspondence, emails and calls, managing diaries, arranging meetings and seminars, drafting agendas and taking minutes.

Experience:


We are seeking a proactive individual, who is flexible, with the ability to work on their own initiative, but also as part of a team, to tight deadlines. Excellent organisational skills, attention to detail, and tact and diplomacy are essential, together with an understanding of the confidential and sensitive nature of the role.

The successful candidate will be able to work confidently with people at all levels to build working relationships both internally and externally. Experience of working as a PA/administrator to senior managers including diary management, arranging and minuting meetings is essential, along with evidence of event planning. Proficient IT skills across a range of packages is a must.


Accountabilities:

  • To take responsibility for managing incoming correspondence, emails and telephone calls, and drafting correspondence for members of Corporate Management Board and/or the Leader of the Council.
  • To proactively manage MP correspondence ensuring all correspondence is logged and responded to accordingly.
  • To proactively manage diaries for members of the Executive Team and/or Leader of the Council.
  • To develop effective working relationships with internal and external stakeholders, colleagues and customers.
  • To develop and maintain an understanding of the roles of senior management, senior Members and an extensive knowledge of the work of the Council and the Directorates.
  • To work collaboratively, flexibly and effectively with PA colleagues to provide support, assistance and cover in the office.
  • Arrange, create agendas for and take minutes at executive level, highly sensitive, meetings with internal and external partners.
  • To organise meetings and seminars, including all the required logistics.
  • To receive visitors for members of the Executive Team and/or Leader of the Council
  • To provide administration and PA support for specialist roles
  • To support the Executive Support Manager with procurement and payment for goods and services.
  • To co-ordinate the collection of data and reports from services as required.
  • To assist with emergency planning related issues by providing a loggist service to Gold and Silver command.
  • To undertake any other duties and activities as directed by the Executive Support Manager and to advise if, at any time, the above duties and responsibilities cannot be performed.
