The Opportunity:

We have an exciting opportunity for an Executive Support Officer to join our Executive Support Team, responsible for providing professional support services to our Management Board and the Leader of the Council.

This is a fixed-term position to support projects including our transformation programme, devolution, and Local Government Review.

Key responsibilities include providing administrative support to Management Board and the Leader of the Council, managing correspondence, emails, calls, diaries, arranging meetings and seminars, drafting agendas, and taking minutes.

Experience:

We seek a proactive, flexible individual capable of working independently and as part of a team to tight deadlines. Excellent organizational skills, attention to detail, tact, diplomacy, and understanding of confidentiality are essential. The candidate should be confident in working with people at all levels, with experience in diary management, meeting arrangements, event planning, and proficient IT skills.

Accountabilities:

  • Manage incoming correspondence, emails, calls, and draft responses for senior management and the Leader of the Council.
  • Proactively handle MP correspondence, ensuring logs and responses.
  • Manage diaries for the Executive Team and Leader.
  • Build effective relationships with stakeholders, colleagues, and customers.
  • Understand the roles of senior management and the work of the Council and its Directorates.
  • Collaborate with PA colleagues to provide support and cover.
  • Arrange and take minutes at high-level meetings with internal and external partners.
  • Organize meetings and seminars, including logistics.
  • Receive visitors for the Executive Team and Leader.
  • Provide administrative and PA support for specialized roles.
  • Assist with procurement and payments.
  • Coordinate data collection and reporting.
  • Support emergency planning by providing a loggist service for Gold and Silver command.
  • Perform other duties as directed by the Executive Support Manager.
