Outpatient Supervisor

We are excited to invite applications for the role of Outpatient Supervisor to join our dedicated Outpatient administration team.

You will help oversee administrative staff to ensure the efficient and high-quality management of bookings, referrals, and overall clinic operations. This is a fantastic opportunity to apply your knowledge of outpatient administration procedures and contribute to the smooth running of our outpatient services.

Main duties of the job

Reporting into the Outpatient Service Coordinator, your responsibilities will include:

Supervise administrative staff to ensure efficient and responsive service delivery.

Collaborate with Outpatient Service Coordinator and Division Service Managers to optimise clinic data, slot utilisation, and appointment completion.

Prioritise and target vacant clinic slots to achieve the Trust 18-week target.

Oversee interpreter bookings, ensuring compliance with contract terms.

Adjust clinic templates for medical/clinical leave and reschedule appointments per waiting time targets.

Support staff development in outpatient booking and clinic management.

Qualification & Training
  • Knowledge of administrative procedures, including specialised IT systems acquired through formal training or experience to NVQ Level 4 in Business and Administration or equivalent.
  • ECDL / IT Qualification or demonstrable knowledge through experience of Microsoft packages.
  • Educated to GCSE standard or recent equivalent level of experience.
Experience
  • Substantial relevant practical NHS clerical experience working in a customer focused area.
  • Day to day staff supervision
  • Experience of a PAS Outpatient module
  • Knowledge of Outpatient administrative procedures.
  • Working in a multi-disciplinary team
  • Experience of Outpatient Clinic Management and Booking processes and procedures
  • Experience of eRS Booking system
Knowledge and Skills
  • Ability to input, retrieve and analyse information.
  • Ability to work on own initiative and to be self-motivated.
  • Ability to organise and prioritise own workload and that of others.
  • Proficiency in Microsoft Office products and Hospital information systems.
