Position Details

Full time 37.5 hours per week (Shifts patterns – Monday to Friday between 8am and 8pm with occasional Saturdays)

Responsibilities

Under the general guidance of the Primary Care Manager, you’ll be responsible for all activities in the clinic. You will provide a link between hospital, patients, consultants, and other users. Your duties will include coordinating patient registration, preparing outpatient accounts, receipting payments for hospital services, booking follow-up appointments, and scheduling further tests including diagnostic requests.

Key Tasks
  • Actively meet and greet patients and visitors in a warm, respectful, and courteous manner, contributing to the promotion and improvement of the Cromwell Hospital brand in line with ABC Standards.
  • Issue Medical Record Numbers, front sheets, labels, and prepare medical records and other administrative documents.
  • Provide efficient administrative support for clinic operations, tests, or procedures.
  • Handle letters of guarantee and liaise with insurance companies and embassies as required.
  • Respond to enquiries regarding hospital facilities or redirect to appropriate departments. Manage reception queries and complaints courteously and promptly.
  • Ensure all staff and patients are informed about hospital charges, payment methods, and handle guarantee letters or insurance claims according to procedures.
  • Process requests from patients, doctors, and visitors courteously, promptly, and efficiently.
  • Interview patients politely to obtain registration information, update details at each appointment, and input data accurately into the system.
  • Receive payments, maintain the integrity of personal float, and ensure transactions are correctly recorded and receipted.
  • Handle refunds and obtain necessary authorizations.
  • Make follow-up bookings and assist with scheduling further tests or consultations.
Qualifications and Skills
  • Experience in healthcare administration or coordination.
  • Experience in orthopaedics is desirable.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills.
  • Ability to build good relationships.
  • IT literacy.
  • Ability to work well under pressure.
  • Team player.
