Job Description:

Due to our ongoing growth, an exciting opportunity has arisen for a full-time Operations Support Team Leader to join our operations team in Liverpool. The right candidate will demonstrate a proven track record of managing demanding and rapidly changing issues within our fleet and ideally have experience in the mail, parcels, and courier market, although this is not essential.

JOB OVERVIEW:

Manage client service enquiries and oversee the administration of consumable deliveries and scheduling collections with suppliers and mailing houses according to worksheet instructions. Track and monitor vehicle routes using transport management systems, escalate issues, and replan as needed. Report back to the customer and transport manager.

MAIN DUTIES:

  • Oversee team productivity
  • Organise structure and rota within the Operations support team
  • Oversee the Transport Heartbeat calls
  • Use mapping/route tracking systems to monitor service levels against daily plans
  • Use TMS to view plans and query deviations such as route order or missed stops
  • Track route status, monitor high-risk routes more frequently
  • Escalate risk routes and inform clients of reforecast collection times
  • Monitor road network issues using Traffic England or similar, and inform transport operations of issues
  • Prioritise high-risk routes or routes for new clients
  • Report tracking issues and audit vehicle tracking and sat-navs
  • Respond promptly and professionally to inbound client service requests
  • Monitor collections and consumables orders daily
  • Send/receive collection confirmations
  • Compile and complete forecasts for suppliers
  • Check mailing processes as required
  • Prioritise and allocate mail in the operations inbox (Outlook)
  • Assist the operations team with other tasks as needed
  • Book collections and transport as required
  • Submit reports within set timeframes
  • Build operational relationships with clients and mailing houses for efficient service
  • Liaise with Business Managers and Client Services about issues/delays

ABOUT YOU:

  • Some geographical aptitude is beneficial but not essential; willingness to learn is key.
  • Excellent attention to detail ensuring compliance and customer service
  • Strong organisational skills and ability to manage workloads effectively
  • Experienced in Microsoft Office and other office systems
  • Strong verbal and written communication skills in English, polite and professional
