Due to our continued success, we are expanding and looking for a talented Operations Coordinator to join our team.

Overview

We are seeking an experienced Operations Coordinator to manage outbound logistics, ensuring efficient warehouse operations and timely delivery to customers. Responsibilities include coordinating shipping advice notices, monitoring transit times, updating the sales team on order status, and generating shipping documents such as commercial invoices and packing lists. Strong communication and organizational skills are essential for success.

Key Responsibilities:

  • Communicate customer shipping orders to warehouses.
  • Log sales orders in the company portal and confirm with warehouses.
  • Ensure prompt shipment delivery through follow-up measures.
  • Track shipments to meet delivery requirements.
  • Prepare shipping documents, packing lists, and commercial invoices.
  • Update shipping manuals and ensure compliance.
  • Reconcile inventory weekly and investigate discrepancies.
  • Respond to sales team inquiries regarding delivery status.
  • Manage Logistics inbox, respond to emails, and file correspondence.
  • Assist with chargebacks and customer claim investigations, updating finance accordingly.
  • Perform administrative tasks related to key accounts.
  • Prepare reports for senior management as needed.
  • Support special events, send-outs, and other company initiatives.
  • Proven experience in a logistics role.
  • Attention to detail, excellent organizational and administrative skills.
  • Excellent communication skills.
  • Proficiency in Excel and Microsoft Office.
  • Willingness to learn and positive team attitude.
  • Previous experience in the beauty and skincare sector is preferable.
