Due to our continued success, we are expanding and looking for a talented Operations Coordinator to join our team.

Overview

We are seeking an experienced and skilled Operations Coordinator to manage outbound logistics, ensuring effective warehouse throughput and on-time delivery. Responsibilities include sending shipping advice notices, coordinating transit times, updating sales on order statuses, and generating shipping documents such as commercial invoices and packing lists. Strong communication and organisational skills are essential.

Key Job Responsibilities:

  1. Communicate customer shipping orders to warehouses.
  2. Enter sales orders into the company portal and ensure they are logged by warehouses.
  3. Ensure prompt delivery/collection of shipments through follow-up measures.
  4. Track shipments to meet delivery requirements.
  5. Prepare shipping documents, packing lists, commercial invoices, and instructions.
  6. Update shipping manuals and ensure compliance with established requirements.
  7. Reconcile inventory weekly and investigate discrepancies.
  8. Respond to sales team inquiries regarding delivery status.
  9. Manage the Logistics inbox, respond to emails, and maintain filing systems.
  10. Assist with chargebacks and customer claims, updating the finance team.
  11. Perform administrative tasks for key accounts.
  12. Prepare reports for senior management as needed.
  13. Support special events, send-outs, bundle formations, and other company initiatives.
  14. Proven experience in logistics roles.
  15. Attention to detail, excellent organisational and administrative skills.
  16. Excellent communication skills.
  17. Proficiency in Excel and Microsoft Office.
  18. Willingness to learn and a positive team attitude.
  19. Previous experience in the beauty and skincare sector is preferable.
