Florence Nightingale Hospice Charity in High Wycombe is seeking an Operations Manager to oversee Butterfly House. You will lead day-to-day administration and supervise two part-time staff plus volunteers, ensuring smooth operation and strong coordination with partners.

The role focuses on supporting clinical teams, managing admin processes, and coordinating with NHS systems while contributing to service development and capital projects to meet patient needs.

Responsibilities

  • Lead day-to-day administration to support clinical activity at Butterfly House.
  • Manage administration support staff handling referrals, appointments and communications.
  • Be the main link between Florence Nightingale Hospice Charity and Buckinghamshire Health Trust.
  • Ensure clinical services have accurate service information for planning.
  • Recruit, induct and support volunteers with the Volunteer Engagement Team.
  • Liaise with Facilities and IT to keep Butterfly House safe and welcoming.

Location: Butterfly House (High Wycombe)
Hours: Full-time 37.5 hours per week.
Salary: £40,300 per annum

We are seeking an Operations Manager to join our friendly team at Butterfly House.

  • The Operations Manager will ensure Butterfly House runs efficiently and cohesively. Managing two part-time staff plus volunteers.
  • They will be the main link between Florence Nightingale Hospice Charity (FNHC) and Buckinghamshire Health Trust (BHT) on the day-to-day running and future development of Butterfly House.
  • Ensure clinical teams have the admin support needed to care for more patients;
  • Ensure FNHC and BHT have the data needed to measure impact, assist future planning and assist with funding applications.
  • Contribute to the integration of patient services at the Florence Nightingale Hospice and Butterfly House.
  • Contribute to capital projects at Butterfly House that ensure spaces meet patient needs.
What will I be doing?

Duties will include (but are not limited to):

Operational management, administration and team leadership
  • Lead the day-to-day administration that supports clinical and other activity at Butterfly House.
  • Manage the administration support staff who support Butterfly House clinicians by logging referrals, appointments, correspondence and group activities.
Partnership working with BHT
  • Be the main link between FNHC and BHT on the day-to-day running.
  • Work with BHT colleagues to align clinical administration with NHS systems and requirements.
Development of Clinical services
  • Ensure FNHC and BHT have accurate and up to date service information to measure impact and assist future planning.
  • Assist with the future planning of services and groups.
Volunteers (mainly Reception & Bistro)
  • Work with the Volunteer Engagement Team to recruit, induct, train and support volunteers.
  • Ensure Reception standards, confidentiality, safeguarding requirements and customer service expectations are consistently maintained.
Facilities and IT Liaison (No Direct Management Responsibility)
  • Work with Facilities and IT colleagues to help keep Butterfly House safe, organised and welcoming.
  • Liaise on operational issues affecting site functioning, workplace requirements, office resources and service continuity.
About You
Essential skills, knowledge and experience:
  • Experience leading, managing and developing staff, with the ability to support through change.
  • Excellent IT skills, including Microsoft Office and database experience.
  • Strong communication and relationship-building skills.
  • Experience managing administrative, operational or business support functions.
  • Practical problem-solving skills, with experience improving systems and ways of working.
  • Understanding of confidentiality, safeguarding, data protection & GDPR; maintain professional boundaries.
Desirable experience:
  • Experience in charity, hospice, healthcare or partnership settings.
  • Experience supervising or coordinating volunteers.
  • Understanding of patient experience and compassionate communication.
