Job summary

Van der Vlist UK is seeking an Operations Co-ordinator to keep complex transport movements moving from order to delivery and invoicing. Based in Hull, you’ll coordinate national and international road and sea movements, handle customs documentation, and liaise with customers, suppliers, and authorities to keep projects on track.

You’ll own planning boards, optimise routes, process orders, and support with on-site movements of machinery and equipment, creating smooth, compliant operations daily.

Qualifications

• Experience in transport, logistics, freight forwarding, or similar operational environment.
• Familiarity with customs procedures or willingness to develop knowledge.
• Organised and able to manage multiple tasks.
• Strong communication and professional telephone manner.
• Proficient in Microsoft Office (Excel/Outlook/Word).
• Good geographical awareness and map tool usage.

You make sure every transport movement reaches its destination

A machine needs to be delivered to Ireland. Customs documentation is required for an international shipment. Meanwhile, a customer is waiting for an update, and a permit application for a wide-load transport needs to be submitted.

As an Operations Coordinator at Van der Vlist UK, you're the person who keeps everything moving behind the scenes.

You coordinate transport movements from start to finish, maintain contact with customers, suppliers and authorities, and ensure every shipment is planned and executed as efficiently as possible. From transport planning and customs activities to operational administration and customer communication, you'll play a crucial role within our Operations Team.

No two days are the same. One day you're coordinating an urgent transport movement, the next you're planning a specialist route for an abnormal load or arranging the documentation required to complete a project successfully.

As an Operations Co-ordinator, you'll be responsible for coordinating and supporting a wide range of transport and logistics activities. You'll work closely with customers, suppliers, authorities, and colleagues to ensure projects run smoothly from order confirmation through to successful delivery and invoicing.

Your responsibilities will include:

• Processing customer orders and managing transport administration;


• Coordinating national and international transport movements by road and sea;


• Planning transport activities and maintaining the daily planning board;


• Managing customs-related procedures and documentation;


• Liaising with customers, suppliers, subcontractors, and transport partners;


• Raising and issuing transport documentation, proof of delivery, and invoices;


• Updating operational reports, databases, and order records;


• Investigating and planning suitable routes for wide-load and specialist transport movements;


• Applying for permits and liaising with local authorities and police where required;


• Obtaining and managing supplier documentation;


• Supporting storage and technical logistics activities on site;


• Assisting with the movement, loading, unloading, and coordination of machinery and equipment.

You’ll be given a high level of responsibility and ownership within the day-to-day transport operation. This is not purely an administrative role. It's a varied position where logistics, planning, customer service, and problem-solving come together.
